Summary:

The Payroll Analyst ensures precise and prompt payroll processing, maintains statutory compliance, generates payroll reports, administers HRIS systems, and oversees the payroll functions for outsourced workforce operations.

This position acts as a vital connector among People Operations, Finance, outsourced agencies, and employees, safeguarding payroll accuracy, upholding regulatory adherence, and delivering outstanding employee support.

Responsibilities include managing and overseeing daily operations to ensure efficiency, collaborating with cross-functional teams to implement strategic initiatives, and maintaining compliance with industry regulations and company policies. The role requires analyzing performance metrics to identify trends and areas for improvement, as well as developing and executing improvement plans. Additionally, the position entails supervising and coaching team members to foster professional growth and ensure high productivity levels. Regular reporting on key performance indicators (KPIs) and budget management also fall within the scope of this role.

Payroll administration entails the meticulous management and processing of employee compensation, including salaries, bonuses, deductions, and tax withholdings. This role requires a keen attention to detail to ensure accuracy in financial records and compliance with regulatory standards. Oversee the complete lifecycle of payroll operations for all staff, guaranteeing precision and prompt distribution of payments.

Gather, verify, and balance payroll inputs such as new employee data, terminations, attendance records, overtime hours, allowances, deductions, bonuses, and any required adjustments.

Calculate and process monthly and quarterly incentive payouts in accordance with approved reward policies and established performance frameworks.

Statutory Compliance: Ensuring adherence to all applicable laws, regulations, and industry standards relevant to the role, including but not limited to data protection, employment legislation, health and safety protocols, and financial reporting requirements. This involves regular monitoring of regulatory changes, conducting compliance audits, and implementing necessary adjustments to policies and procedures to mitigate legal and operational risks. The position demands a thorough understanding of jurisdictional legal frameworks and the ability to translate complex regulatory requirements into actionable compliance strategies. Ensure precise computation and timely transfer of statutory deductions, fully compliant with Nigerian labor and tax laws and regulations.

Compile monthly payroll summaries, personnel cost reports, and statutory reports for review by management and the Finance department.

Collaborate with HR and Finance teams to develop and refine budgets and forecasts related to staffing expenditures.

Ensure meticulous accuracy and strict confidentiality in all payroll record management.

Provide financial support by preparing and delivering the annual payroll and HR data reports mandated for financial audits and year-end evaluations.

Compile and deliver HR data essential for ESG reporting, as stipulated by external investors and partners.

Systems & Process Improvement: Identify inefficiencies within current workflows, analyze root causes, and develop data-driven solutions to enhance operational effectiveness. Collaborate with cross-functional teams to implement process improvements, ensuring seamless integration with existing systems. Monitor performance metrics before and after enhancements to assess impact, and document findings to support continuous refinement. Stay informed about industry best practices and emerging technologies to recommend innovative approaches that drive efficiency and scalability.

Oversee the management and periodic updates of HRIS and payroll systems to uphold data precision and maintain system integrity.

Collaborate with cross-functional teams to facilitate system upgrades, rigorous testing, and seamless implementation, ensuring payroll and HRIS functionalities align precisely with organizational requirements.

Provide administrative and operational support to employees and outsourced personnel to ensure seamless collaboration and adherence to company policies. Address inquiries, resolve concerns, and facilitate access to necessary resources, training, and tools. Maintain accurate records of interactions and support activities to monitor performance and identify areas for improvement. Collaborate with HR, department heads, and external partners to streamline onboarding, offboarding, and ongoing support processes. Foster a positive and inclusive work environment by promoting clear communication and resolving conflicts promptly. Ensure compliance with company guidelines and labor regulations in all support functions.

Respond promptly and professionally to payroll inquiries from direct employees, ensuring clear explanations regarding deductions, benefits, and company payroll policies.

Act as the key point of contact for external agencies, upholding service level agreements, maintaining precise records, delivering training, processing payroll data, and overseeing the performance of all staff managed by these agencies.

Monitor attendance records, address disciplinary matters, and evaluate overall staff performance, ensuring thorough validation of statutory remittances, invoices, and monthly submissions. Proactively identify and escalate concerns related to absenteeism, non-compliance, or subpar performance for timely resolution.

Required qualifications include a Bachelor’s degree in Computer Science, Software Engineering, or a related field, along with at least 3 years of professional experience in software development. Proficiency in languages such as Java, Python, or C++ is essential, along with expertise in full-stack development and database management. Experience with cloud platforms like AWS or Azure and familiarity with DevOps practices are highly desirable. Candidates should possess strong problem-solving skills, excellent communication abilities, and the capacity to work collaboratively in cross-functional teams.

A bachelor’s degree in Accounting, Finance, Economics, Human Resources, Business Administration, or a related discipline is required.

Requires 3 to 5 years of hands-on experience in payroll administration, compensation management, HR operations, or a comparable field.

Proficient in Nigerian payroll legislation, taxation regulations, pension administration, and labor laws.

Proven expertise in operating Human Resources Information Systems (HRIS) and payroll management software is required.
