Job Description

We seek a Procurement Administrator to deliver comprehensive administrative, compliance, and documentation support to our Procurement Department, ensuring seamless operational efficiency and strict adherence to company policies and ISO standards.

The ideal candidate demonstrates meticulous attention to detail, strong organizational abilities, and confidence in independently handling documentation management, audit coordination, and vendor compliance activities.

Oversee a range of critical duties to ensure seamless operations, including managing project timelines, coordinating cross-functional teams, and maintaining compliance with industry regulations. Collaborate with stakeholders to align objectives, implement strategic initiatives, and optimize workflows for enhanced efficiency. Monitor performance metrics to identify trends, address gaps, and drive continuous improvement across all assigned responsibilities. Regularly report progress to leadership, offering data-driven insights to support informed decision-making. Foster a culture of accountability and excellence while ensuring adherence to company policies and best practices.

Develop, revise, and manage procurement policies, standard operating procedures (SOPs), and all departmental documentation to ensure accuracy and compliance.

Coordinate internal and external audits for the Procurement Department while ensuring all audit findings are resolved within the designated timelines.

Oversee the registration and periodic revalidation of vendors, guaranteeing that all supplier documentation stays up-to-date and fully compliant with regulatory standards.

Collaborate with the Legal Department to establish and manage Service Level Agreements (SLAs), contracts, and vendor agreements.

Maintain all records for the Procurement Quality Management System (QMS) in accordance with ISO standards.

Develop and sustain a robust document control and archiving system specifically for procurement records and contracts.

Procurement documents are received, validated for accuracy, and then distributed to Finance and other pertinent departments for processing.

Prepare procurement reports, trackers, and dashboards, ensuring their accuracy and timeliness while maintaining comprehensive records of all procurement activities.

Coordinate departmental meetings by developing comprehensive agendas, documenting detailed minutes, and diligently monitoring action items to ensure accountability and follow-through.

Provide assistance to the procurement team throughout the entire procurement process, encompassing requisitions, purchase orders, vendor documentation, and supplier communication.

Proficiency in audit support, ISO documentation management, and vendor compliance oversight is highly beneficial.

Required is an advanced level of proficiency with Microsoft Excel, particularly in the areas of LOOKUP functions and reporting tools.

A keen eye for detail, strong organizational capabilities, and exceptional written communication skills are essential.
