Job Summary:

The Offshore Operations Coordinator will oversee project facilitation aboard the vessel, collaborating closely with the Project Engineer to ensure seamless execution, procedural enhancement, and risk mitigation across all project phases. Additionally, they will deliver comprehensive vessel support and coordination within their designated responsibilities, maintaining alignment with onshore teams.

Oversee a comprehensive range of duties and fulfill key responsibilities essential to the role, ensuring alignment with organizational objectives. Key tasks include managing daily operations, coordinating team activities, and maintaining high standards of performance across all assigned functions. Additional responsibilities encompass analyzing data to drive strategic decisions, fostering collaboration among stakeholders, and ensuring compliance with industry regulations and company policies. The position requires a proactive approach to problem-solving, exceptional organizational skills, and a commitment to continuous improvement in all aspects of the job.

Provide project engineering assistance to vessels during operational periods when the primary project engineer is not on duty.

Attend and, when necessary, chair key safety and operational meetings including Project Briefings, HAMID sessions, IWO meetings, Equipment Briefings, Pre-shift Meetings, SJA’s, and Demob Meetings, in addition to any other relevant safety-related gatherings, during periods when the PE is not on duty.

Ensure COSHH assessments are completed and Material Safety Data Sheets (MSDS) are readily accessible during the PE’s absence.

Provide support to the Project Engineer in ensuring project documentation complies with the established Project Management System requirements.

Conduct a thorough examination of project documentation, equipment lists, procedures, and drawings generated before mobilization, encompassing procedural and peer reviews, as instructed by the Rig Manager.

Please notify the Rig Manager immediately of any potential modifications, conflicts, or discrepancies in project procedures or schedules that may necessitate a Management of Change (MOC) process.

Issue Site Instructions, Seas, and Mock in the PE’s absence, ensuring all copies are retained and properly logged.

Ensure seamless coordination of mobilization and demobilization activities with the designated Project Engineering and Store personnel, while executing all duties in strict adherence to the Project Management System protocols.

Familiarize themselves thoroughly with the vessel’s Well Control Manual, which encompasses the latest Well Control and Barrier Policies.

Assist in compiling and organizing accurate records of Stores Requisitions, Requisitions, and Purchase Orders exchanged between OMT and Onshore locations.

Support the loading and unloading of goods onto the vessel while coordinating with the Store person, Supply Chain, and OMT teams.

Facilitate the distribution of delivery manifests from onshore to the Store person, ensuring their availability across the Vessel.

Assist the Store personnel in performing an initial verification of the delivered goods against the manifest, and coordinate with Vessel personnel to retrieve the goods, ensuring that the required certification is provided to the appropriate individual in instances where the Onshore Store personnel are unavailable.

Upon receiving authorization from OMT, verify with the onshore team that the manifested goods were delivered accurately, then finalize and return the manifest with all required stamps and signatures.

Verify that all Project equipment delivered complies with certification standards, possesses complete documentation, and is correctly listed on the deck plan and MTO/manifests.

Provide support to the team in organizing and gathering project materials for the back load process.

Maintains and updates designated portions of the Chemical and Equipment tracker, focusing specifically on long-term vessel items—including Radios and Project Cage Stock—as instructed by the Rig Manager.

Consolidate Vessel Mail and return it to the Office accompanied by a Transmittal Note.

Compile the Daily Project Report and ensure its completion no later than 06:00, then submit it to the Rig Manager for review.

Effectively liaise with clients, senior management, vessel crews, and external stakeholders to ensure clear and consistent communication across all parties.

They must maintain strict confidentiality concerning any confidential or sensitive information encountered in the course of their duties.

Prepare and compile a comprehensive Handover Document, meticulously recording all pertinent details to ensure the incoming team member is fully informed. Verify that every section of the document reflects the most current information and is promptly transferred to their relief.

Ensure the vessel’s safety systems are operated and maintained in accordance with established protocols.

Experience/Background:

A minimum of four years of experience within an offshore-related sector or light well intervention operations, preferably in a comparable coordination role, is required.

Individuals should possess demonstrated expertise in managing the logistics of material transportation along with a solid understanding of light well intervention and operational procedures, or alternatively, a comprehensive grasp of rigging practices and remotely operated vehicle (ROV) operations.

Effectively manages organizational and administrative tasks with a high degree of proficiency.

A collaborative professional with strong interpersonal and communication abilities, adept at fostering teamwork and building effective relationships.

Individuals should possess prior experience in quality assurance or operations settings, demonstrating familiarity with associated processes and methodologies.

Proficient in utilizing all Microsoft Office applications with strong computer skills.

Additional Training Requirements include mandatory completion of all assigned professional development courses, adherence to ongoing education standards, and participation in scheduled training sessions as directed by management. Employees must maintain current certifications relevant to their role and are expected to stay informed about industry advancements through self-directed learning initiatives. Compliance with these requirements is essential to ensure proficiency, regulatory compliance, and alignment with organizational goals.
