Job Summary:
The Offshore Operations Coordinator will oversee the seamless implementation of vessel-based projects, collaborating closely with the Project Engineer to ensure efficient execution, procedural formulation, and risk mitigation throughout the project lifecycle. Additionally, they will deliver comprehensive vessel support and coordination within their designated responsibilities, in alignment with onshore team guidance.
The position involves overseeing a variety of tasks and responsibilities to ensure operational efficiency. Key responsibilities include managing projects, coordinating team efforts, and implementing strategies to meet organizational goals. The role requires maintaining clear communication channels, monitoring performance metrics, and identifying opportunities for improvement. Deliver project engineering assistance to the vessel during operational hours when the Project Engineer is not on duty.
Oversee the facilitation and leadership of key project meetings, including the Project Briefing, HAMID, IWO, Equipment Briefings, Pre-shift Meetings, Seas, Demob Meetings, and any other relevant safety-related gatherings during the PE’s absence.
Ensure that all COSHH assessments are completed and Material Safety Data Sheets (MSDS) are accessible during the absence of the Principal Engineer (PE).
Support the Project Engineer by ensuring all project documentation adheres to the standards of the Project Management System.
Conduct a thorough examination of all project documentation, equipment lists, procedures, and drawings generated before mobilization, performing procedural and peer reviews as instructed by the Rig Manager.
Please notify the Rig Manager of any potential adjustments, discrepancies, or inaccuracies in project procedures or schedules that may necessitate a Management of Change (MOC) process.
Issue Site Instructions, SJA’s and MOC’s, while the PE is off shift, ensuring copies retained and logged.
Coordinate mobilization and demobilization activities in collaboration with the designated Procurement & Engineering (PE) personnel and Store representatives, adhering strictly to the guidelines and protocols outlined in the Project Management System.
They must thoroughly review the vessel’s Well Control Manual, which encompasses the latest Well Control Policies and Barrier Management guidelines.
Compiles and preserves accurate records of Stores Requisitions, requisitions, and purchase orders exchanged between the Offshore Maintenance Team (OMT) and Onshore operations.
Collaborate with the Store person, Supply Chain, and OMT to facilitate the efficient loading and unloading of goods onto and off the vessel.
Support the store team in disseminating the delivery manifest throughout the vessel, as distributed from onshore.
Assist the Store personnel in performing an initial inspection of the delivered goods against the manifest, and coordinate with vessel personnel to receive the goods, ensuring that certification is forwarded to the appropriate individual during instances when the Onshore Store personnel are unavailable.
Upon receiving authorization from OMT, verify with the onshore team that the manifested goods were delivered accurately, then submit a duly completed and stamped manifest in return.
Verify that all provided Project equipment features valid certification and accompanying documentation, as specified in the deck plan and MTO/manifests.
Contribute to the crew’s efforts in organizing and preparing project materials for back loading.
Ensures the Chemical and Equipment tracker is meticulously maintained and updated, specifically focusing on long-term vessel items—such as Radios and Project Cage Stock—as instructed by the Rig Manager.
Gather and organize vessel mail, then return it to the office accompanied by a Transmittal Note.
Compile the Daily Project Report and submit it to the Rig Manager for review no later than 06:00 each day.
Effectively facilitate clear communication among clients, management, vessel crew, and third parties.
Maintaining strict confidentiality is essential when handling confidential or sensitive information.
Prepare and compile a thorough and precise Handover Document for the incoming team member, verifying that the condition and updates of each relevant section are current and fully communicated.
Assist in the operation and maintenance of the Vessel’s safety systems to ensure compliance with maritime regulations and operational standards.

Minimum of four years of professional experience within an offshore sector or light well intervention environment, preferably in a coordinating role.
Proven expertise in managing the logistics of material transfers and a comprehensive understanding of light well intervention and operational procedures, or alternatively, substantial experience and familiarity with rigging and remotely operated vehicle (ROV) operations.
Possesses strong organizational and administrative capabilities to manage tasks efficiently and maintain meticulous attention to detail.
A collaborative professional with strong interpersonal and communication abilities.
Proven expertise in Quality Assurance and Operations environments is essential.
Proficiency in utilizing all Microsoft Office applications with strong computer skills is required.
