Description

We are in search of an organized and meticulous Admin / Finance Manager to integrate into our fast-paced hospitality team.

The successful applicant will supervise day-to-day administrative activities and financial management processes, maintaining efficiency, regulatory compliance, and robust internal controls across every business unit.

Oversee a range of critical duties encompassing strategic planning, operational execution, and team leadership to ensure organizational goals are met efficiently. Develop and implement policies, procedures, and best practices to enhance performance and maintain compliance with industry standards. Collaborate with cross-functional teams to drive project initiatives, resolve challenges, and optimize workflows for maximum productivity. Serve as a key liaison between departments, fostering alignment and communication to support seamless operations. Monitor key performance indicators to assess progress, identify areas for improvement, and implement corrective actions as needed. Ensure adherence to budgetary constraints while delivering high-quality results that meet stakeholder expectations.

You will be responsible for managing and aligning all daily administrative functions across the organization, fostering seamless collaboration between departments such as Front Office, Operations, Sales, Food & Beverage, Housekeeping, Spa, and Events.

Oversee the complete financial operations, encompassing budget preparation, financial projections, strategic planning, and variance assessments to facilitate informed executive decision-making.

Oversee accounts payable and receivable functions to guarantee accurate invoicing, meticulous payment monitoring, and thorough reconciliation of all financial transactions.

Monitor and oversee petty cash transactions across various departments to maintain strict accountability, ensure accurate record keeping, and enforce compliance with established internal policies.

Ensure financial records, ledgers, and supporting documentation are meticulously maintained in accordance with established accounting standards and organizational policies.

Review staff payroll inputs, validate attendance records, overtime claims, and deductions, and ensure salaries are processed promptly to support payroll administration.

Perform periodic cost evaluations across various departments—including Food & Beverage, Rooms, Spa, and Events—to pinpoint potential cost reductions and enhance overall profitability.

Collaborate with external auditors, tax advisors, financial institutions, and regulatory bodies to verify adherence to all statutory obligations.

Collaborate with Sales, Reservations, and Front Office teams to accurately capture all revenue streams and support revenue tracking efforts.

Track daily cash flow and financial performance, delivering timely insights and strategic recommendations to management to enhance operational efficiency.

Responsible for managing procurement activities in coordination with key departments, guaranteeing adherence to approval protocols, effective vendor oversight, and cost-effective procurement strategies.

Maintain meticulously organized documentation and filing systems for all financial and administrative records to ensure audit readiness and transparency.

Requirements

A bachelor’s degree in Accounting, Finance, Business Administration, or a closely related discipline is required.

Seeking candidates with a minimum of four to five years of professional experience in finance and administration, with a strong preference for those with a background in hospitality.

Demonstrates a comprehensive understanding of accounting principles and financial reporting standards, ensuring accuracy and compliance in all financial documentation and analysis.

Proficiency in hotel or property management operations would be considered a valuable asset.

Demonstrated expertise in utilizing Microsoft Excel and accounting software applications is required.

Exceptional proficiency in organization, analysis, and leadership is required.
