The After Sales – ERP Associate (SAP) is responsible for ensuring the precision, thoroughness, and reliability of all after-sales data housed within the SAP system. This position entails executing organized daily, weekly, and monthly system entries, including warranty claims, service orders, field returns, spare parts transactions, and reverse logistics activities. In addition to transactional processing, the Associate will develop and maintain a performance dashboard to track after-sales operations, support reporting cycles, and contribute to data integrity initiatives, spare parts inventory oversight, and the ongoing enhancement of SAP utilization across the after-sales organization.

We specialize in SAP Data Entry and Transaction Management, handling the accurate input and processing of critical business information within the SAP system. Execute accurate and systematic SAP data entries on a consistent daily, weekly, and monthly basis, encompassing all post-sales transactions such as warranty claims, service orders, repair job cards, goods receipts, goods issues, and returns.

Craft Service Notifications, Service Orders (CS module), and Repair Orders within SAP, maintaining precise classification, coding, and status updates throughout each stage of their lifecycle.

Record and manage all incoming goods movements related to field returns within the SAP system, encompassing material returns (executed via MILO), transfer postings, and scrapping transactions. Ensure complete traceability throughout the process, from initial receipt to final disposition, to uphold accuracy and compliance in inventory management.

Process spare parts transactions in SAP by managing issues and receipts, ensuring precise and timely recording of all stock movements aligned with the appropriate cost centers, plant codes, and storage locations.

Prepare month-end and period-close accounting entries specifically for the after-sales department, encompassing GR/IR account reconciliation, resolution of outstanding orders, and timely updates to stock valuations.

Ensure the integrity of master data—encompassing material master, service master, customer master, and equipment records—by identifying and reporting discrepancies to the system administrator for prompt resolution.

Design and upkeep of performance dashboards are essential responsibilities, requiring meticulous attention to detail and a strong grasp of data visualization principles. This role involves creating intuitive, user-friendly dashboards that effectively track key performance indicators (KPIs) and facilitate data-driven decision-making. Proficiency in dashboard development tools, such as Tableau, Power BI, or similar platforms, is mandatory, along with expertise in data integration, extraction, transformation, and loading (ETL) processes. Candidates must demonstrate experience in collaborating with cross-functional teams to identify reporting needs, ensure data accuracy, and optimize dashboard performance. A comprehensive dashboard will be implemented to monitor essential after-sales key performance indicators (KPIs), ensuring real-time visibility into critical metrics and performance trends. This tool will facilitate data-driven decision-making by providing actionable insights into customer satisfaction, service efficiency, and operational effectiveness. The dashboard will aggregate and visualize KPIs such as resolution time, service quality scores, and first-time fix rates to support continuous improvement in after-sales processes.

Design and implement standardized dashboard templates to be utilized across various regions, maintaining uniformity in definitions, data sources, and reporting periods.

Work alongside After Sales Managers and regional teams to develop innovative metrics or analytical frameworks that evolve in tandem with business growth.

Oversee the version control and documentation processes for all dashboard logic, data sources, and refresh schedules.

Ensures the reliability and security of data while maintaining the cleanliness and efficiency of systems.

Perform systematic SAP data audits to detect and resolve discrepancies such as duplicate records, inaccurate material codes, improperly classified service orders, and unresolved transactions that require closure.

Monitor and address discrepancies between Goods Receipts (GR) and Invoice Receipts (IR), investigate unconfirmed service orders, and address outdated or unresolved purchase requisitions and orders linked to post-sales operations.

Enforce adherence to data entry standards within the after-sales team by creating and implementing standard operating procedures (SOPs), detailed checklists, and comprehensive training materials to ensure uniformity and precision in system utilization.

Proactively detect data quality discrepancies that compromise reporting precision, collaborating with key stakeholders to execute corrective and preventive measures.

Assist in SAP system upgrades, configuration modifications, and new module implementations by performing transaction testing, verifying data migration accuracy, and recording results.

We oversee the tracking and analysis of performance metrics to ensure alignment with organizational goals, identifying trends, deviations, and opportunities for improvement through regular reporting. This role requires proficiency in data analysis, attention to detail, and the ability to communicate insights effectively to stakeholders. Responsibilities include compiling and presenting performance data, conducting root cause analyses, and recommending strategic actions to enhance efficiency and productivity. Strong Excel skills and familiarity with reporting tools are essential, along with the capacity to work collaboratively across departments to drive data-driven decision-making.

Prepare and circulate standardized after-sales reports—such as warranty aging analyses, open service order summaries, spare parts consumption metrics, and return goods status updates—on a daily, weekly, and monthly schedule.

Monthly, compile comprehensive after-sales performance reports for executive review by integrating SAP data with field inputs and providing detailed commentary on variances against established targets.

Monitor and document expenditures related to after-sales services, encompassing warranty expenses, repair labor costs, spare parts investments, and asset write-offs, to support Finance in maintaining precise accruals.

Monitor service and repair orders to ensure adherence to Service Level Agreements (SLAs) and Turnaround Times (TAT’s), identifying any breaches or recurring issues and promptly escalating them to management for resolution.

Handles spare parts management and reverse logistics operations to ensure seamless equipment availability and sustainable asset recovery. Oversees the sourcing, storage, and distribution of critical components while coordinating return processes to optimize resource utilization and minimize downtime. Monitors inventory levels, tracks part performance, and maintains compliance with quality standards throughout the supply chain. Collaborates with procurement, engineering, and service teams to align spare parts strategies with operational needs and regulatory requirements. Leads initiatives to enhance reverse logistics efficiency, reduce costs, and support circular economy principles through refurbishment and recycling of returned items.

Oversee the complete lifecycle of spare parts transactions in SAP, spanning from initiating purchase requisitions and recording goods receipts to processing issues, transfers, and returns, with a focus on maintaining precise documentation for each transaction.

Collaborate with warehouse and logistics teams to maintain SAP’s accuracy in tracking physical spare parts movements across all storage locations and plants.

Oversee the reverse logistics processes for defective and field return goods within SAP, ensuring an unbroken chain of custody from initial field collection through to final assessment and disposition—whether that involves repair, refurbishment, scrapping, or supplier returns.

Provide support to the After Sales team by verifying and maintaining the availability and accuracy of pertinent SAP documentation—including serial numbers, material documents, and service orders—for supplier warranty claims management.

Evaluate and report on slow-moving, excess, and obsolete spare parts inventory within SAP to facilitate regular review and disposal procedures.

Spare Parts Inventory Management involves overseeing the procurement, tracking, and distribution of components to ensure operational efficiency. The role requires meticulous attention to detail to maintain accurate records, monitor stock levels, and prevent shortages or excess inventory. Responsibilities include coordinating with suppliers for timely deliveries, performing regular audits, and collaborating with maintenance teams to identify critical parts. A minimum of a Bachelor’s degree—or an equivalent qualification—in Business Administration, Supply Chain Management, Information Systems, Engineering, or a closely related discipline is required.

With a minimum of two to four years of practical involvement in SAP systems, preferably within after-sales service, service operations, supply chain, or logistics environments.

Proficiency in utilizing SAP modules such as Customer Service (CS), Materials Management (MM), and/or Plant Maintenance (PM) is required.
