Oversee a wide range of duties encompassing strategic planning, project execution, and team leadership to ensure operational efficiency and goal attainment. Responsible for accurately documenting and maintaining records of data, as well as overseeing job-related tasks and ensuring efficient workflow management.

Accurately and in real time, log all incoming requests, job updates, fault logs, and closures into the job tracking system.

Maintain an accurate and comprehensive log detailing all jobs, encompassing those that are open, in progress, completed, or cancelled, including precise dates, assigned engineers, and current statuses.

Record all materials utilized for each specific job and ensure inventory records are updated promptly and accurately.

Filing and archiving responsibilities include meticulously organizing, categorizing, and maintaining both physical and digital documents to ensure efficient retrieval and compliance with organizational standards. This role requires strict attention to detail to accurately label, store, and update records while adhering to established retention policies and confidentiality protocols. Proficiency in database management systems and familiarity with digital archiving tools are essential, as is the ability to manage large volumes of information systematically. Strong organizational skills and the capacity to prioritize tasks in a fast-paced environment are also critical to sustaining seamless operational workflows.

All job cards, completion forms, fault reports, and project documents must be archived within 24 hours following the closure of a job.

Maintain a systematically structured physical and digital filing system characterized by uniform naming conventions and clear categorization to ensure efficient retrieval and organization of documents.

Perform a monthly audit of files to detect and rectify any deficiencies or absent documentation.

Reporting directly to the Director of Operations, the incumbent will be responsible for preparing and presenting comprehensive reports on a monthly basis, ensuring all data is accurately compiled, analyzed, and delivered in a timely manner. Additionally, the role involves collaborating with cross-functional teams to gather relevant information, maintaining meticulous documentation of all processes, and ensuring compliance with company reporting standards and regulatory requirements.

Prepare the weekly department activity report for review by the Fiber Back-office Team Lead prior to submission.

Develop a comprehensive monthly performance dashboard that includes key performance indicators, job volumes, service level agreement performance metrics, and materials consumption data.

Upon request from the Team Lead or Head of Department, prepare and deliver ad hoc reports promptly.

We are seeking a highly organized and detail-oriented Backup Coordinator to oversee and manage our backup operations. The ideal candidate will ensure the integrity, security, and accessibility of critical data through meticulous planning, testing, and documentation. Responsibilities include coordinating backup schedules, verifying successful data recovery, and maintaining compliance with organizational and industry standards. Requirements include a minimum of three years of experience in backup administration or a related field, proficiency in backup software and disaster recovery tools, and strong problem-solving skills. The role may require occasional off-hours support to address urgent backup or recovery needs.

Handle all coordinator responsibilities in the interim, including processing incoming requests, preparing work orders, confirming client appointments, and facilitating communication between departments.

Requirement

A bachelor’s degree or its equivalent in Business Administration, Information Management, or a closely related discipline is required.

Requires 1 to 2 years of relevant experience in administrative support, data entry, or records management, with prior exposure to telecommunications being a plus.

Skilled in utilizing Microsoft Excel and Word, with additional familiarity in job tracking or CRM tools considered beneficial.

Attention to detail, strong organizational skills, and dependability are essential, along with the capacity to manage confidential information with the utmost discretion.
