Job Summary

A proficient Health Unit Coordinator (HUB) is sought to perform essential secretarial duties supporting our medical facility’s operations.

As the liaison fostering clear and purposeful dialogue between medical professionals, you will also serve as the primary point of contact for all administrative matters within the unit.

You must demonstrate strong organizational skills, reliability, and prior clerical experience within a medical environment to qualify for this role. Additionally, we seek a candidate who exhibits a positive attitude, professionalism, and a high level of efficiency, coupled with a dedicated commitment to the healthcare field.

The HUB’s core responsibility is maintaining the facility’s seamless operation. You will be tasked with accurately storing and distributing information among medical staff and to patients.

We are seeking a motivated individual to oversee a range of critical tasks, ensuring operational efficiency and compliance with established standards. Key duties include managing daily workflows, coordinating cross-functional teams, and maintaining accurate records to support decision-making. Additionally, the role demands a proactive approach to problem-solving, meticulous attention to detail, and the ability to meet strict deadlines without compromising quality. Strong communication skills are essential for liaising with stakeholders and reporting progress transparently. The successful candidate will also be responsible for implementing process improvements and fostering a collaborative work environment.

Warmly welcome patients upon arrival and distribute necessary forms for processing.

Maintain and organize appointment calendars and other scheduling systems to ensure accurate and up-to-date records.

Accurately convert doctors’ written or verbal directives into clear, legible text, ensuring precision and adherence to established medical documentation standards.

Responsible for accurately documenting patient information in medical charts and consistently monitoring and recording vital signs to ensure comprehensive and up-to-date healthcare records.

Prepare or retrieve essential documentation (such as birth or death certificates, discharge summaries, and other relevant records).

Revise databases by inputting accurate patient details to ensure comprehensive and up-to-date records.

Work effectively with both medical and nonmedical team members to foster a cohesive and productive environment.

Procure necessary materials and equipment as required to ensure uninterrupted workflow and operational efficiency.

Perform additional responsibilities as directed by management from time to time.

Requirements and skills

A high school diploma or equivalent is required for this position. Candidates must have successfully completed secondary education to be considered for this role.

A HUB training program completion is highly desirable for this position.

Professional certification is considered advantageous.

Candidates must demonstrate a successful track record in a health unit coordinator capacity or an equivalent position.

Experience using medical records and databases

Proficient in understanding and applying pertinent medical terminology within professional contexts.

Proficiency in medical transcription is advantageous.

Proven expertise in delivering exceptional communication and customer service is required. Candidates must demonstrate a strong aptitude for engaging with clients and colleagues alike, ensuring clarity, professionalism, and responsiveness in all interactions.

Proven ability to manage multiple tasks efficiently while maintaining meticulous organization in all aspects of work.
