The Operations Support Personnel provides essential assistance to the company’s Last-mile operations, collaborating closely with dispatch riders to facilitate seamless daily functions. This position delivers vital support to uphold delivery schedules, oversee vehicle maintenance, and foster clear communication among riders, customers, and the operations team. Additionally, the Operations Support Personnel plays a pivotal role in monitoring deliveries, managing records, and addressing operational challenges in a timely manner.

Oversee and execute a range of critical duties to ensure seamless operations and optimal performance, including managing day-to-day tasks, coordinating team efforts, and implementing strategic initiatives to drive progress. Facilitate communication across departments to align goals, resolve challenges, and enhance collaboration, while monitoring performance metrics to identify areas for improvement. Develop and maintain standardized processes to boost efficiency, ensure compliance with policies, and support organizational objectives through meticulous planning and proactive problem-solving.

Oversee the organization and execution of daily delivery schedules while guaranteeing punctual vehicle dispatch.

Oversee the tracking of delivery operations, liaise with couriers to ensure timely updates, and promptly notify customers of any changes to their delivery status as required.

Oversee the organization and upkeep of fleet maintenance schedules while facilitating the coordination of vehicle repairs and emergency breakdown resolutions in collaboration with the Operations Officer.

Record precise documentation of delivery routes, vehicle utilization, and maintenance operations with meticulous attention to detail.

Provide assistance to the Operations Officer by enhancing delivery route efficiency and ensuring optimal allocation of resources.

Support the monitoring of essential performance indicators, including delivery timelines, vehicle usage efficiency, and fleet maintenance expenditures.

To uphold company safety standards and last-mile delivery policies, assist with routine safety inspections and adherence to maintenance protocols.

Provide comprehensive administrative assistance by overseeing database management, compiling and distributing reports, and ensuring accurate documentation for deliveries and fleet management operations.

Facilitate the coordination and oversight of relationships with external service providers, including vehicle maintenance vendors and delivery partners.

Address operational challenges and customer concerns promptly, ensuring issues are resolved or escalated to the Operations Officer when necessary.

Support the recruitment, training, and onboarding processes for new delivery riders.

Suggest and implement innovative ideas or tools to enhance processes and boost operational efficiencies.

Assist in monitoring and administering delivery-related expenditures, including costs for battery charging, vehicle maintenance and repairs, as well as wages for delivery personnel.

Handle all additional responsibilities as directed by the Operations Officer.

Prospective candidates should possess a Bachelor’s degree in a relevant field, combined with a minimum of five years of experience in a comparable role. Familiarity with industry-standard software and tools is essential, along with strong analytical and problem-solving abilities. Excellent communication skills, both written and verbal, are required to interact effectively with stakeholders at all levels. Additionally, candidates must demonstrate a track record of meeting deadlines and managing multiple priorities efficiently. Knowledge of compliance regulations and a commitment to continuous professional development are highly valued.

A degree or professional certification in Logistics, Supply Chain Management, Business Administration, or a related discipline is highly desirable.

A minimum of one year of professional experience in logistics, fleet management, or operational support is required, with a strong preference for candidates with background in last-mile delivery environments.

Proficient in utilizing delivery management platforms, fleet tracking solutions, and scheduling software to optimize operational efficiency.

Demonstrates strong organizational capabilities and excels in managing multiple tasks simultaneously within a dynamic, high-speed setting.

Demonstrates meticulous attention to detail while ensuring the precision and integrity of all records and reports.

Exceptional verbal and written communication abilities are essential for fostering positive interactions with riders, clients, and external service partners. Strong interpersonal skills are required to effectively engage and collaborate with diverse stakeholders.

Possesses a fundamental understanding of vehicle safety regulations and protocols.

Strong analytical abilities are essential for promptly resolving operational challenges.

Demonstrated expertise in Microsoft Office Suite, including but not limited to Excel and Word, as well as other pertinent software applications.

Proven capacity to function effectively within collaborative team environments and interface seamlessly with various departments.
