This position is primarily responsible for delivering high-quality administrative assistance to the Plant Manager and other team members as needed, ensuring operations remain organized and productive.

Key deliverables and obligations include analyzing complex data sets to uncover actionable insights, designing and implementing scalable solutions to address identified challenges, and ensuring seamless integration of new systems with existing infrastructure. Responsibilities encompass leading cross-functional teams to achieve project milestones, collaborating with stakeholders to align technological advancements with business objectives, and maintaining rigorous standards of quality and security throughout all processes. Additionally, the role requires monitoring industry trends to recommend innovative technologies, optimizing operational efficiency through continuous improvement initiatives, and preparing comprehensive reports to communicate progress and outcomes to leadership.

Draft professional letters, reports, and other documents as directed by the plant manager.

Handle incoming communications, including telephone calls, emails, general correspondence, and other inquiries, and ensure they are promptly and efficiently routed to the appropriate individuals.

Organize and oversee meetings, conferences, and travel arrangements with precision and efficiency. Coordinate schedules, book venues, arrange transportation, and manage logistics to ensure seamless execution of all professional engagements.

Organize and facilitate internal meetings, and prepare and maintain minutes as required.

Effective stakeholder management and cultivating strong, mutually beneficial relationships with vendors and external partners are essential to preserving and enhancing the company’s reputation. This role requires continuous engagement to ensure alignment with organizational objectives while addressing the needs and concerns of all relevant parties.

Prepare invoices and pursue outstanding payments as necessary.

Prepare financial documentation by producing invoices, receipts, and other relevant payment records in accordance with established accounting standards and company policies. Ensure all entries are accurate, properly formatted, and submitted within designated deadlines to support financial reporting and compliance requirements. Work collaboratively with accounting teams to verify transaction details and resolve discrepancies promptly. Maintain organized records of payment documentation for audit purposes and future reference.

Oversee and manage the plant manager’s schedules and calendar to ensure all appointments, meetings, and deadlines are properly organized and met.

Regularly conduct proactive maintenance on all office equipment to ensure optimal functionality and prevent service disruptions.

Greet and escort visitors to the designated meeting rooms, ensuring their comfort and convenience throughout their visit.

Perform all other duties and ad-hoc tasks relevant to the position as directed by Management.
