Job Summary

Adman Services Nigeria Limited is in search of an organized, proactive, and seasoned Administrative Officer with extensive experience in Human Resources (HR) to facilitate administrative functions and assist in workforce management.

The successful candidate will demonstrate substantial practical experience in administrative and human resources functions, coupled with strong organizational abilities, effective communication, adept employee relations capabilities, and proficient record-keeping skills.

Key Accountabilities include spearheading project execution to ensure timely and successful delivery, maintaining stringent adherence to quality standards, and overseeing cross-functional collaboration to align all stakeholders with project goals. The role demands meticulous attention to detail in monitoring progress, identifying potential risks, and implementing proactive mitigation strategies. Additionally, the position requires effective communication with senior leadership to provide regular updates and strategic recommendations.

Oversee and manage the day-to-day administrative operations of the organization, ensuring seamless coordination and efficient execution of all tasks.

Oversee the maintenance and organization of employee records, personnel files, and HR documentation to ensure accuracy, compliance, and accessibility.

Support recruitment efforts by sourcing qualified candidates, conducting interviews, and facilitating the selection process to ensure the right talent is brought on board. Contribute to seamless onboarding and orientation initiatives by preparing documentation, coordinating training sessions, and ensuring new hires integrate smoothly into the team. Enhance employee engagement by organizing programs, gathering feedback, and implementing initiatives that foster a positive and productive workplace culture.

Facilitate the implementation and oversight of performance management frameworks, ensuring alignment with organizational goals while fostering staff development through targeted training and growth opportunities.

Responsible for managing office systems, ensuring accurate records, files, and documentation are properly maintained.

Draft reports, correspondence, memos, and other official documentation as required by the position.

Administer office supplies, equipment, and facilities to maintain seamless operational efficiency.

Coordinate and schedule meetings, appointments, and travel arrangements for senior leadership, ensuring seamless alignment with their professional commitments and operational requirements.

Helps execute administrative and HR policies and procedures, ensuring adherence and alignment with organizational standards.

Collaborate with vendors, service providers, and regulatory agencies as necessary to facilitate effective communication and alignment.

Maintain the confidentiality and integrity of sensitive employee and company data through secure handling and appropriate management practices.

Bachelor’s degree in a related field or an equivalent combination of education and experience is mandatory. Proficiency in relevant software applications and tools is essential. Candidates must possess strong analytical and problem-solving abilities. Excellent communication and teamwork skills are required. Prior experience in a similar role is preferred. Knowledge of industry regulations and standards is necessary. Ability to manage multiple tasks and deadlines effectively is crucial. Attention to detail and a commitment to accuracy are expected.

HND or Bachelor’s Degree in Business Administration, Human Resource Management, Public Administration, Management, or a closely aligned discipline is required.

With a minimum of five years of demonstrated expertise in Administration and Human Resources, this role requires a seasoned professional.

Proven expertise in HR operations, encompassing recruitment, onboarding, employee relations, and personnel management, is required.

Proven expertise in utilizing the Microsoft Office Suite, encompassing Word, Excel, PowerPoint, and Outlook, is required.

Possesses strong abilities in both written and verbal communication.

Demonstrates exceptional proficiency in organizing tasks, managing schedules, and handling multiple responsibilities simultaneously.

Proficient in executing tasks autonomously and thriving with limited oversight, ensuring consistent productivity and adherence to deadlines with minimal guidance.

Preferred Qualifications include a Bachelor’s degree in Computer Science, Engineering, or a related technical field, coupled with 3+ years of relevant experience in software development or a closely related discipline. Familiarity with programming languages such as Python, Java, or C++ is essential, along with expertise in frameworks like Django, Spring, or .NET. Candidates should demonstrate proficiency in cloud platforms (e.g., AWS, Azure, or GCP) and possess strong problem-solving skills. Experience with DevOps practices, CI/CD pipelines, and agile methodologies is highly valued, as is a track record of delivering scalable and high-performance solutions.

A professional HR certification, such as CPM, SHAM, RCI, or an equivalent qualification, is highly desirable.
