The Warehouse Facility Manager serves as the principal steward of Sun King’s warehouse infrastructure, guaranteeing operational preparedness, adherence to safety standards, lease compliance, robust security measures, efficient asset oversight, and sustainable facility management.

The incumbent is responsible for maintaining the warehouse in compliance with all operational, regulatory, and organizational requirements, thereby facilitating uninterrupted daily activities for the warehouse team.

What you would be expected to do

Facility Operations camp; Vendor Management involves overseeing and optimizing the maintenance, upkeep, and efficiency of physical spaces while managing relationships with external service providers. This role entails ensuring all facilities operate smoothly, coordinating with vendors to secure necessary supplies, services, and repairs, and maintaining compliance with safety and regulatory standards. Key responsibilities include monitoring facility performance, addressing maintenance requests promptly, negotiating contracts with suppliers, and fostering long-term partnerships with trusted vendors to enhance operational reliability and cost-effectiveness. Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment are essential for success in this position.

Supervise the continuous operation of the warehouse facility, guaranteeing that all essential services—including utilities, security, maintenance, HVAC systems, racking, and mechanical systems—perform at peak efficiency, with any service disruptions addressed and resolved promptly.

Coordinate with certified utility service providers to ensure seamless maintenance of essential utilities, including electricity, water, and internet, as well as infrastructure systems. Oversee vendor adherence to service-level agreements (SLAs), monitor performance metrics, and proactively escalate any deviations or underperformance for resolution.

Perform and record regular walkthroughs of facility inspections, proactively identifying defects, safety hazards, and maintenance requirements, and promptly escalating corrective measures to prevent disruptions to warehouse operations.

Maintain a thorough facility maintenance log that systematically documents all completed, pending, and scheduled maintenance activities, ensuring the register is kept current and reviewed in coordination with the Warehouse Supervisor on a monthly basis.

Serve as the main internal liaison for daily facility-related concerns submitted by warehouse staff, addressing or escalating issues promptly within established timeframes.

Ensure adherence to lease agreements, mitigate legal risks, and manage compliance requirements through meticulous oversight and strategic risk assessment practices.

Ensure strict adherence to all warehouse lease terms, encompassing timely rent and service charge payments, fulfillment of maintenance duties, compliance with permitted use provisions, and obtaining necessary approvals for any fit-outs or modifications.

Act as the main point of contact with landlords and applicable regulatory bodies concerning lease-related issues; oversee and coordinate schedules for fit-outs, inspections, and lease renewals.

Develop and execute risk mitigation strategies in collaboration with relevant teams to ensure facility safety, security, enforce lease compliance, and protect assets.

Perform systematic safety evaluations and verify adherence to fire safety, workplace health, and emergency regulations within the warehouse environment.

Manage insurance policies for the facility, stock, and equipment to ensure continuous and up-to-date coverage, while monitoring renewal dates and collaborating with the Finance team to maintain timely policy administration.

HSE Compliance & Safety Standards encompass the development, implementation, and continuous monitoring of protocols to ensure adherence to regulatory requirements and mitigate workplace hazards. This role entails conducting regular audits, risk assessments, and safety inspections while providing training and guidance to personnel to foster a culture of safety and compliance. Additionally, it involves investigating incidents, analyzing trends, and recommending corrective actions to prevent recurrence, thereby safeguarding both employees and organizational assets.

Act as the dedicated Health, Safety, and Environment (HSE) liaison for the warehouse facility, ensuring strict adherence to Sun King’s HSE protocols, applicable local regulatory mandates, and fire safety guidelines at all times.

Ensure the timely execution of scheduled HSE audits, fire drills, and safety inspections, while meticulously documenting all outcomes. Develop and enforce corrective and preventive measures as needed, and follow through to guarantee all actions are fully resolved.

Ensure that all warehouse staff consistently have access to properly fitted and fully operational personal protective equipment (PPE) by actively monitoring stock levels and initiating timely replenishment as needed.

All safety incidents, near-misses, and equipment malfunctions must be promptly reported to the Warehouse Lead.

Ensure all HSE-related facility records, permits, and compliance certificates are meticulously maintained and consistently kept in an organized, audit-ready condition at all times.

Ensures robust security and access management protocols are implemented and maintained to safeguard organizational assets, data integrity, and compliance with relevant regulations. Develops and enforces policies governing user authentication, authorization, and role-based access control while monitoring system vulnerabilities and mitigating risks. Conducts regular audits, risk assessments, and security reviews to identify gaps and implement corrective measures. Collaborates with IT teams to deploy and manage security tools, such as firewalls, intrusion detection systems, and encryption solutions. Stays current with emerging threats, industry best practices, and regulatory changes to continuously enhance the organization’s security posture.

Responsibilities include ensuring the physical security of the warehouse facility by managing access control systems, monitoring CCTV feeds, conducting perimeter inspections, and implementing visitor management protocols.

Perform regular security inspections of the facility and maintain detailed records of findings; promptly notify the Warehouse Supervisor of any detected security issues, breaches, or suspicious behavior on the same day.

Oversee the issuance and regulation of access permissions for all warehouse staff, contractors, and guests, ensuring full adherence to Sun King’s established security standard operating procedures.

Coordinate with the security service provider to confirm guard deployment schedules, patrol routes, and incident response procedures remain compliant and fully operational.

Responsible for the oversight and administration of assets and supplies inventory, ensuring accurate tracking, efficient utilization, and timely replenishment to meet operational demands. Conducts regular audits to verify asset conditions and inventory levels, identifies discrepancies, and implements corrective measures. Collaborates with procurement teams to forecast needs, optimize stock levels, and reduce unnecessary expenditures. Maintains detailed records of asset assignments, depreciation, and disposal while adhering to organizational policies and regulatory compliance.

Oversee the continuous maintenance of a comprehensive and current register encompassing all warehouse facility assets, such as racking systems, forklifts, pallet trucks, scanners, furniture, tools, and other equipment, while meticulously documenting their condition, maintenance history, and upcoming service schedules.

Develop and deploy tracking systems for all facility assets while performing regular audits to reconcile asset and supply records, ensuring proper usage and custody.

Coordinate all scheduled and preventive maintenance tasks for warehouse equipment to guarantee that each piece is safe, certified, and fully operational prior to approval for use.

Oversee facility-related inventory to guarantee essential supplies are consistently accessible, identifying restocking requirements proactively to prevent any shortages.

Cost Optimization, Reporting, and Sustainability: Drive financial efficiency by identifying and implementing measures to reduce expenses and enhance profitability. Develop and maintain robust reporting frameworks to ensure transparency and compliance with financial regulations. Champion sustainability initiatives by integrating eco-friendly practices into business operations, reducing environmental impact while fostering long-term value creation.

Oversee the facility operations budget by meticulously tracking expenditures—including rent, service charges, utilities, maintenance, and supplies—against allocated budget lines; proactively identify and execute cost-saving initiatives while ensuring no compromise to service quality or safety standards.

Develop and maintain precise documentation of all facility-related expenditures, ensuring meticulous tracking and organization. Additionally, prepare and submit comprehensive monthly reports to the Warehouse Lead, detailing facility performance metrics, cost evaluations, space utilization statistics, and operational efficiency assessments.

Secure and assess competitive pricing for all maintenance and repair projects.

Drive the adoption and execution of sustainable facility management strategies—such as energy efficiency initiatives, waste minimization efforts, and compliant disposal methods—aligned with Sun King’s sustainability goals.

Spearhead enhancement initiatives within the warehouse to foster a safer, cleaner, more organized, and overall improved working environment for staff.

A degree in Supply Chain Management or a closely related field, such as an HND or B.Sc., is required.
