Principal Accountabilities
Proactively oversee a diverse range of internal and external meetings on behalf of projects, including those at Senior Management level. Responsibilities involve coordinating meeting invitations, arranging venue bookings when necessary, recording minutes, uploading meeting materials to SharePoint, and ensuring all actions and decisions are accurately documented.
Oversee the end-to-end logistics for meetings and workshops, ensuring seamless execution of all operational tasks. This involves maintaining and updating participant lists, distributing invitations, securing appropriate venues, and providing essential travel support—such as issuing visa invitation letters. Additionally, compile and distribute necessary materials, liaise with external suppliers, manage invoice payments, and coordinate internal program and project meetings to maintain alignment and efficiency.
Provide assistance in the design and development of internal communications materials for Transformation Delivery projects. Responsibilities involve reviewing and editing essential project reports and slide presentations, creating meeting documents, and ensuring all materials adhere to Save the Children’s branding guidelines.
Oversee the organization and maintenance of project documentation and digital platforms to guarantee that all materials remain systematically structured and current.
Responsible for overseeing and regulating access permissions to SharePoint sites and Microsoft Teams to ensure secure and appropriate user entry.
Oversee the onboarding process for newly joined members of the Project teams. Responsibilities include arranging and conducting induction calls, as well as procuring essential equipment such as laptops and any additional homeworking resources required.
You will provide assistance to Project Leads and Project Managers, including updating team action cards and verifying that team members complete assigned tasks within the agreed-upon deadlines. Additionally, you will compile and maintain progress reports, ensuring they are distributed to the team in a timely manner. You will also contribute to project planning efforts and monitor adherence to established deadlines to support project success.
Forge and nurture robust, mutually beneficial partnerships with key stakeholders throughout the Transformation Delivery portfolio.
Assist in project financial management by handling invoice processing, as well as generating and overseeing Purchase Orders to ensure accuracy and compliance with budgetary guidelines.
