Job Summary:

We seek an exceptionally organized, forward-thinking, and technically adept Technical Assistant to the Managing Director for a prominent Architectural Design Firm. The successful candidate will deliver strategic guidance, administrative expertise, and technical assistance to the Managing Director while collaborating with project teams across multiple functions. Tailored for an individual with leadership aspirations, this position requires the ability to serve as the MD’s representative, oversee operational coordination, and progressively assume greater managerial responsibilities as needed.

Oversee and execute a comprehensive range of essential duties, ensuring adherence to organizational standards and objectives. Develop, implement, and monitor strategic plans, policies, and procedures to enhance operational efficiency and effectiveness. Collaborate with cross-functional teams to align initiatives, resolve challenges, and achieve key performance targets. Conduct thorough research, analyze data, and present actionable insights to support informed decision-making. Maintain compliance with regulatory requirements and industry best practices while fostering a culture of accountability and continuous improvement.

Deliver comprehensive technical and administrative assistance directly to the Managing Director.

Oversee the planning, execution, and progress tracking of architectural, engineering, and construction initiatives to ensure adherence to timelines, budgets, and quality standards.

You will represent the Managing Director in meetings, compiling detailed reports, recording minutes, and developing actionable plans to ensure follow-through on decisions.

Perform necessary research, assess feasibility, and conduct thorough technical analysis as needed.

Provide support in project planning, scheduling, documentation, and quality assurance activities to ensure adherence to established standards and timelines.

Serve as the primary point of contact and facilitate communication between clients, consultants, contractors, and regulatory agencies to ensure alignment and compliance with established standards.

Develop compelling presentations, proposals, technical reports, and business correspondence to effectively communicate key information and insights.

Track project progress diligently and verify that all deadlines are consistently achieved.

Collaborate closely with the management team to facilitate informed operational and strategic decision-making processes.

When delegated by the Managing Director, assume leadership responsibilities to offer strategic guidance and operational support to project teams.

Play a key role in driving business development, enhancing operational efficiency, and supporting organizational growth initiatives.

Requirements:

A relevant undergraduate qualification in Architecture, Engineering, Quantity Surveying, Building Technology, Project Management, Accounting, or a closely aligned field is required.

Experienced professionals with at least three to five years of pertinent industry knowledge are required.

Demonstrates a solid grasp of project management principles and business operational frameworks.

Proficient in crafting comprehensive reports, delivering clear communications, and delivering compelling presentations.

Demonstrates advanced skills in utilizing the Microsoft Office Suite, including Word, Excel, and PowerPoint, with a high degree of proficiency.

Proficiency in AutoCAD, Refit, or similar design and project management software is essential.

Demonstrates exceptional proficiency in analytical thinking, organizational planning, and strategic problem-solving.

Proven capability to operate autonomously, uphold strict confidentiality standards, and effectively prioritize competing tasks in a dynamic environment.

Shows proven leadership capability with the ability to take on expanded roles and responsibilities progressively.
