The Reconciliation Officer oversees the verification and alignment of purchase orders, invoices, delivery records, credit notes, and payments received from supermarkets, distributors, and other business partners. This position maintains precise transaction records, addresses discrepancies without delay, and monitors outstanding payments to uphold strong cash flow and ensure accurate financial reporting.

Oversee and execute a range of critical duties, ensuring all processes are aligned with organizational objectives and industry best practices. Develop and implement strategic initiatives to enhance operational efficiency, foster innovation, and drive sustainable growth. Serve as a key liaison between departments, facilitating seamless communication and collaboration to achieve cross-functional goals. Monitor performance metrics, analyze data trends, and provide actionable insights to senior leadership to inform strategic decision-making. Lead and mentor teams, cultivating a high-performance culture through coaching, feedback, and professional development opportunities. Ensure compliance with regulatory requirements, internal policies, and ethical standards while maintaining rigorous attention to detail.

Reconcile supermarket and distributor purchase orders against invoices, delivery notes, and payment records to ensure accuracy and proper financial alignment.

Ensure that every customer delivery is accompanied by accurate invoicing and meticulous accounting procedures.

Reconcile incoming payments with open invoices and customer accounts to ensure accurate financial records.

Investigate discrepancies in purchase orders, invoices, deliveries, deductions, returns, and payments, and implement corrective actions to resolve them.

Monitor outstanding invoices and proactively contact supermarkets, distributors, and trade customers regarding overdue payments.

Compile and distribute customer account statements as needed.

Prepare and maintain thorough reconciliation schedules along with comprehensive supporting documentation to ensure accuracy and completeness.

Handle unresolved payment disputes and long-outstanding debts by escalating them to management for resolution.

Compile weekly and monthly reports to reconcile accounts and track receivables accurately.

Requirements include a minimum of five years of progressive experience in a related field, with proficiency in project management tools and methodologies such as Agile or Scrum. A bachelor’s degree in Business Administration, Computer Science, or a related discipline is required, though a master’s degree is preferred. Strong analytical, problem-solving, and communication skills are essential, along with the ability to work collaboratively in a team-oriented environment. Candidates must demonstrate experience leading cross-functional teams, managing budgets, and delivering projects on time and within scope. Familiarity with industry-standard software, data analysis tools, and compliance regulations is also necessary. Additionally, the ideal candidate will possess a proven track record of driving innovation and process improvements in previous roles.

A bachelor’s degree in Accounting, Banking & Finance, or Business Administration is required for this position.

Candidates must have satisfactorily completed the National Youth Service Corps (NYC) program.

Seeking candidates with 1 to 2 years of professional experience in reconciliation, accounts receivable, finance, accounting, or a related field.

Experienced in managing purchase orders, invoices, statements of account, and performing payment reconciliation with precision and efficiency.

Requires strong expertise in Microsoft Excel and Google Sheets.

Exceptional proficiency in analysis, numeracy, and resolving complex issues is essential.
