Job Summary:

The Executive Personal Assistant delivers comprehensive administrative, personal, and strategic support to the Executive Office. This position encompasses the organization and oversight of schedules, facilitation of meetings, handling of sensitive information, and ensuring the seamless execution of the executive’s daily responsibilities and commitments.

Oversee a range of critical duties including planning, organizing, and executing tasks to ensure project objectives are met within specified timelines and budgets. Develop and implement strategies to enhance operational efficiency, drive team productivity, and maintain high standards of quality. Monitor progress through regular assessments, provide constructive feedback, and address any challenges proactively to mitigate risks. Collaborate with stakeholders across departments to align goals, resolve conflicts, and foster a cohesive working environment. Ensure compliance with company policies, industry regulations, and best practices while promoting a culture of accountability and continuous improvement.

Coordinate the executive’s daily agenda, including appointments, meetings, and other scheduled commitments.

Craft professional correspondence, reports, presentations, and official documents with precision and clarity to support organizational communication and decision-making processes.

Respond to incoming communications, including phone calls, emails, and other correspondence, on behalf of the executive.

Oversee the planning and execution of travel arrangements, manage logistics, and arrange accommodations as required.

Record meeting proceedings by taking detailed minutes and ensure all assigned tasks and action points are tracked and followed up on promptly.

Handle confidential files, records, and sensitive information with the highest level of discretion and professional integrity.

Serve as the primary point of contact and facilitate communication between management and various stakeholders, including staff, other departments, clients, parents, and external partners.

Plan, oversee, and execute events, seminars, and high-level executive meetings with precision and efficiency.

Ensure all assignments and projects are completed within their designated deadlines, maintaining strict adherence to timelines and deliverables.

Provide support in executing personal and administrative duties as directed by the executive.

Oversee the executive office to maintain optimal organization and operational efficiency.

Perform any supplementary tasks as directed by the Administrator General or senior management, as necessary.

Requirements:

A Bachelor’s Degree or Higher National Diploma (HND) in Administration, Management, Education, or a closely related discipline is required.

Requires demonstrated expertise in the capacity of a Personal Assistant, Executive Assistant, or Administrative Officer.

Proven ability to communicate effectively and build strong interpersonal relationships is essential.
