MAIN FUNCTIONS

The Contracts Advisor plays a pivotal role in facilitating or overseeing the execution of project contracting initiatives. This encompasses strategic and planning responsibilities during initial project development stages, contractor qualification, and the leadership of commercial aspects throughout the Pre-front end engineering design (FEED) / FEED / Engineering, Procurement, and Construction (EPC) contract development process. Additionally, the role involves supporting contractor evaluation, selection, and the formulation of award recommendations, as well as ensuring the execution and administration of high-quality prime contracts. Furthermore, the Contracts Advisor coordinates post-contract award interfaces for the project, overseeing activities until contract close-out.

Conducts a range of duties including overseeing project timelines, coordinating team efforts, ensuring adherence to quality standards, and managing client communications. Facilitates collaborative problem-solving sessions to address challenges and drive project success, while maintaining meticulous documentation and reporting. Monitors progress against established benchmarks and implements corrective actions as needed to optimize outcomes. Additionally, serves as a liaison between stakeholders, executives, and operational teams to align objectives and streamline workflows.

Manages the overall process, develops key deliverables, and enhances tools to facilitate the creation of project contracting strategies, contractor qualification protocols, bid slates, tender documentation, and proposal evaluations.

Formulates comprehensive Contracting Plan(s) aligned with the established Contracting Strategy.

Compiles and finalizes Invitation to Tender (ITT) documentation in alignment with the established responsibility matrix.

Maintains a comprehensive database of all correspondence to ensure that every inquiry and clarification is accurately recorded, and that agreed-upon issues are accurately reflected in final proposals.

Negotiates contentious contractual terms and conditions or provides support in such negotiations as required.

Prepares all contract documents in strict accordance with the chosen bidder’s proposal, as well as any subsequent clarifications and final negotiations.

Secures necessary final functional reviews and endorsements of contract documents from relevant stakeholders—including Legal, Audit, and Controllers—as mandated by policy.

Delivers comprehensive pricing and commercial evaluations to the Project Team to support the formulation of contract award recommendations.

Assists the Physical Therapist (PT) in securing necessary contract award endorsements and approvals from senior management and relevant stakeholders.

Compiles and safeguards comprehensive final contract files, ensuring all necessary components are included and kept current.

Devises and oversees internal kick-off meetings with company personnel to foster contract comprehension, examines contract terms and conditions, outlines the change order protocol, and promotes measures to prevent claims.

Crafts comprehensive materials tailored for introductory sessions with Company and Contractor stakeholders, designed to outline and examine essential contract components such as the Principal Document, Coordination Procedure, and change order process.

Directs or assists in Contract Administration efforts by collaborating with project and business managers to ensure alignment on contractual obligations and administrative duties.

The incumbent is responsible for evaluating and providing feedback on the Contractor’s contracting and subcontracting strategies, methodologies, frameworks, and outputs to verify adherence to the Company’s established standards and specifications.

Responsible for the prompt processing and filing of all Contractor commercial documentation—including insurance certificates, Parent Company Guarantees, and Letters of Credit (Loss)—while ensuring original Bank Guarantees and Loss are filed in strict accordance with established procedures.

Responsible for conducting thorough reviews and implementing updates to the project file system along with associated procedures, ensuring alignment with current standards and best practices. Maintains and manages the Master Document Register, verifying accuracy, completeness, and compliance with organizational requirements.

Reviews, maintains, and oversees PT contractual correspondence procedures and communications, ensuring alignment with the contract notices outlined in the PT Document Distribution matrix.

Designs and oversees the approval workflow while ensuring adherence to invoicing and payment procedures.

Coordinates the entire change control process, which encompasses modifications, change notices, change orders, and other contract adjustments such as the Management of Change (MOC) process, the Change Order log, and the Deviation log.

The role involves supervising the Contractor’s subcontracting operations, facilitating the participation of the Project Team in the Company’s review and approval of individual subcontracting plans, as well as overseeing the subcontract development process from initial qualification through to award and execution.

Advises project teams on contract administration and subcontracting matters, outlining key issues and the measures being implemented to mitigate potential consequences.

Evaluates contractor performance systematically and communicates feedback through structured project and functional management processes.

Compiles and disseminates key lessons learned from contract administration and subcontracting initiatives within the organization, ensuring they are effectively communicated to relevant stakeholders.

Drafts the Contract Close Out Plan, a critical component of the overall Project Close Out Plan, ensuring all contractual obligations and deliverables are systematically finalized and documented.

Drafts and finalizes a comprehensive close-out agreement with the Contractor to resolve all pending items and obligations in accordance with established terms.

We seek a candidate with a strong academic background in a relevant field, complemented by prior work experience in a similar role. Proficiency in essential software tools and platforms is required, along with the ability to collaborate effectively in team settings. The ideal applicant will demonstrate exceptional problem-solving skills, attention to detail, and a commitment to continuous learning. Strong communication abilities, both written and verbal, are essential for interacting with stakeholders and executing tasks efficiently. Additionally, familiarity with industry-specific regulations and best practices is highly desirable.

Preferred candidates will have prior experience in Contracts Engineering or Contracts Administration.

At least one year of relevant professional experience in a comparable role is necessary for consideration.

Skilled in handling commercial negotiations, managing contractors, and administering contracts.

A Bachelor of Science degree in Engineering is highly desirable.

Demonstrates a comprehensive grasp of project execution methodologies and the fundamental principles, theoretical frameworks, and practical concepts underpinning contracting.

Open to domestic and international travel, as well as relocation to various project sites, as required by the role.

Seeking candidates with a strong background in project management, ideally with prior ownership or operational experience.

Professional certification or qualification from a recognized professional body, such as ISM (CPM/CPSM), APIs, or PMP, is required.
