The Executive Assistant serves as a primary liaison, ensuring seamless communication among the Managing Director, internal teams, clients, partners, and other external stakeholders, while also functioning as a reliable gatekeeper.
To excel in this role, the Managing Director’s time must be safeguarded, ensuring commitments are fulfilled and operations run seamlessly without their constant oversight.
Oversee a comprehensive range of critical duties encompassing strategic planning, operational oversight, and team leadership to ensure organizational objectives are met efficiently and effectively. Execute key initiatives by coordinating cross-functional collaboration, monitoring progress against established benchmarks, and implementing corrective measures as necessary. Analyze performance data to identify trends, mitigate risks, and optimize processes that enhance productivity and profitability. Foster a culture of accountability and continuous improvement through clear communication, mentorship, and the delegation of responsibilities aligned with individual strengths. Diary and schedule management responsibilities involve taking full ownership of the Managing Director’s calendar, overseeing all aspects from initial setup to final execution. This includes coordinating meetings, proactively resolving scheduling conflicts, allocating adequate preparation and travel time, and ensuring the MD remains fully informed and punctual for all engagements.
Screen, filter, and manage incoming calls, emails, and written correspondence for the Managing Director, ensuring timely and appropriate responses. Additionally, prepare and refine letters, reports, and presentations to meet professional standards, maintaining accuracy and clarity throughout.
Coordinate meetings efficiently by handling all logistical aspects for board meetings, leadership sessions, and client engagements. Prepare detailed agendas, distribute necessary documents, record precise minutes, and ensure follow-up on all action items until resolution.
Plan domestic and international travel arrangements, including bookings for flights, accommodations, visas, and meticulously crafted itineraries. Manage itinerary modifications with poise and efficiency when unexpected changes arise.

Event & visitor support involves meticulous planning and execution of logistics for company events, visits, and hospitality initiatives, guaranteeing that all guests of the Managing Director are welcomed with the utmost professionalism and care.
Handle all sensitive commercial, financial, and personnel information with the utmost discretion and confidentiality at all times.
Candidates must fulfill several key qualifications to be considered for this role. A minimum of five years of relevant work experience is necessary, with at least three years in a managerial or leadership position. Proficiency in industry-standard software and tools, such as Microsoft Office Suite or project management platforms, is required, along with strong analytical and problem-solving skills. Excellent written and verbal communication abilities, including the capacity to interact effectively with stakeholders and clients, are essential. Additionally, a bachelor’s degree in a related field—or an equivalent combination of education and experience—is mandatory.
With a minimum of three years of demonstrated experience, you have excelled in positions such as Executive Assistant, Personal Assistant, or comparable roles that provide direct support to senior leadership.
Strong organizational prowess and effective time-management capabilities, coupled with the capacity to handle multiple competing priorities simultaneously.
A strong command of both written and verbal communication, coupled with a poised and professional demeanor, is required.
Experienced in utilizing Microsoft Office products—including Outlook, Word, Excel, and PowerPoint—along with the ability to quickly adapt to and master new software tools.
