Job Summary

The Facility Manager will be responsible for directing day-to-day operations, ensuring facility maintenance, upholding safety standards, and managing the overall operations of the estate’s facilities and shared spaces.

This position oversees the maintenance of a clean, secure, functional, and properly maintained environment for residents, while also supervising facility staff, contractors, and service providers.

Oversee and execute core duties, ensuring alignment with organizational objectives and industry standards. Play a pivotal role in strategic planning, project management, and cross-functional collaboration to drive efficiency and innovation. Analyze performance metrics to identify trends, opportunities, and areas for improvement, implementing data-driven solutions. Lead initiatives that enhance operational excellence, employee engagement, and stakeholder satisfaction. Maintain adherence to compliance requirements, regulatory guidelines, and internal policies while fostering a culture of accountability and continuous improvement. Serve as a liaison between departments, senior leadership, and external partners to facilitate seamless communication and decision-making.

Estate Operations & Maintenance involves overseeing the upkeep, management, and functionality of residential or commercial properties to ensure optimal performance, safety, and aesthetics. This role encompasses routine inspections, preventive maintenance, and timely repairs to address structural, mechanical, or aesthetic issues. Additionally, it requires coordinating with vendors, contractors, and staff to execute maintenance schedules, manage service requests, and uphold property standards in alignment with organizational policies and regulatory requirements. Strong organizational skills, attention to detail, and proficiency in property management systems are essential for success in this position.

Responsible for the management and upkeep of estate facilities and infrastructure to ensure optimal functionality and performance.

Oversee the operational integrity of electrical systems, generators, water treatment systems, pumps, plumbing, elevators (as applicable), and other utility infrastructure to maintain seamless functionality.

Design and execute proactive maintenance strategies to ensure optimal equipment reliability and performance. Establish structured maintenance schedules and protocols to mitigate potential failures and extend asset lifespan.

Perform routine assessments of structures, shared spaces, roads, drainage networks, and recreational amenities to ensure optimal functionality and safety.

Swiftly address and resolve maintenance concerns in a timely manner.

Oversee the work of maintenance personnel, cleaners, gardeners, and other facility staff to ensure efficient operations.

Oversee and supervise external contractors and service providers to ensure alignment with project timelines and quality standards.

Verify that all contractors adhere to established estate standards and safety protocols.

Assess the effectiveness and excellence of contractor performance as well as the standard of their services.

Respond to residents’ inquiries regarding facility operations and upkeep with professionalism and efficiency.

Respond to service requests promptly to meet established deadlines consistently.

Ensure consistently high levels of satisfaction among residents.

Demonstrate adherence to all applicable health, safety, and environmental regulatory standards at all times.

Perform regular safety inspections and evaluate potential risks to ensure a secure environment.

Collaborate effectively with security staff to uphold a secure estate environment.

Develop and implement comprehensive emergency response protocols and incident management strategies to ensure effective handling of crises and minimize potential impacts.

Budget & Asset Management encompasses the strategic oversight of financial resources and organizational assets to ensure optimal allocation and utilization. This role requires meticulous attention to detail, strong analytical skills, and proficiency in financial software to monitor expenditures, forecast budgets, and evaluate asset performance. Responsibilities include developing and maintaining financial plans, conducting variance analyses, and implementing cost-saving measures while adhering to regulatory compliance and reporting standards. Effective communication and collaboration with stakeholders are essential to align financial strategies with broader business objectives.

Help coordinate and oversee the preparation and administration of facility maintenance budgets.

Oversee utility usage patterns to identify opportunities for reducing expenses, subsequently proposing strategic cost-saving measures.

Maintain meticulous documentation of estate assets, equipment, warranties, and maintenance records to ensure comprehensive tracking and compliance.

Evaluate and propose facility upgrades and enhancement initiatives as required to optimize operational efficiency and safety standards.

Bachelor’s degree in Computer Science, Engineering, or a related field is required, along with a minimum of five years of professional experience in software development. Proficiency in programming languages such as Java, Python, or C++ is essential, along with experience with database management systems and cloud platforms. Strong problem-solving skills and the ability to work collaboratively in a team environment are also necessary. Familiarity with Agile methodologies and DevOps practices is preferred. Excellent communication skills for conveying technical concepts to non-technical stakeholders are a must.

A minimum of a Bachelor’s Degree, Higher National Diploma (HND), or equivalent qualification in Engineering, Facilities Management, Building Technology, Estate Management, or a closely related discipline is required.

A minimum of three years of professional experience in overseeing residential estates, apartment complexes, hotels, or comparable properties is required.

Proven expertise in overseeing facility operations, coordinating maintenance schedules, and managing vendor relationships.

Proficiency in Microsoft Office and facility management systems is beneficial.
