Job Summary

The Facility Manager will be responsible for the comprehensive oversight of the estate’s facilities and shared spaces, ensuring seamless daily operations, diligent maintenance, and unwavering adherence to safety protocols. This role encompasses the strategic management of all operational, logistical, and administrative functions to uphold the highest standards of functionality and security across the estate.

This position ensures residents experience a clean, secure, well-organized, and properly maintained living space while overseeing facility personnel, contractors, and external service providers.

Oversee a comprehensive range of critical duties encompassing strategic planning, team leadership, and operational execution to ensure organizational goals are consistently achieved. This role demands meticulous attention to detail in analyzing performance metrics, identifying areas for improvement, and implementing corrective actions to enhance efficiency and productivity. Collaborate cross-functionally with department heads to align initiatives, foster innovation, and drive sustainable growth. Additionally, the position requires strong analytical abilities to interpret complex data, communicate findings clearly, and recommend data-driven solutions to senior management.

Manages and maintains residential properties to ensure optimal functionality, safety, and aesthetic appeal, overseeing routine inspections, repairs, and upkeep while coordinating with vendors and contractors as needed. Responsibilities include addressing tenant concerns, managing service requests, and ensuring compliance with property standards and regulations. Requires experience in property management or facilities operations, strong organizational and communication skills, and proficiency in maintenance software. Must prioritize preventive maintenance to minimize disruptions and extend property longevity.

Responsible for managing the upkeep and functionality of all estate facilities and infrastructure to ensure optimal performance and compliance with standards.

Ensure all electrical systems, generators, water treatment systems, pumps, plumbing, elevators (if applicable), and other utilities operate correctly and efficiently at all times.

Design and execute comprehensive preventive maintenance strategies to ensure optimal equipment reliability and operational efficiency.

Perform routine assessments of structures, shared spaces, thoroughfares, drainage infrastructure, and leisure areas to ensure operational integrity and safety standards are consistently met.

Ensure all maintenance issues are resolved promptly and efficiently.

Oversee a team comprising maintenance workers, custodial staff, gardeners, and other facility personnel.

Oversee and supervise external contractors and service providers to ensure seamless project execution and adherence to contractual obligations.

Verify that all contractors adhere to established estate standards and safety protocols without exception.

Assess the effectiveness and standards of contractor deliverables and service provisions.

Address and resolve residents’ concerns regarding facility management and maintenance issues in a timely and professional manner.

Promptly address all service requests in adherence to the established timelines.

Consistently ensure exceptional levels of resident satisfaction through attentive service and responsive support.

Ensure adherence to all applicable health, safety, and environmental standards and regulations at all times.

Perform systematic evaluations of workplace safety protocols and identify potential hazards through comprehensive risk assessments.

Collaborate effectively with security staff to uphold a secure estate environment.

Oversee and implement emergency response protocols and incident management strategies to ensure timely and effective handling of critical situations.

Oversee the administration of budgets and company assets with meticulous attention to detail, ensuring efficient allocation and utilization of financial resources. Develop and implement robust asset management strategies to safeguard and optimize the value of company holdings while maintaining compliance with regulatory standards. Prepare accurate financial forecasts, monitor expenditures against approved budgets, and provide insightful reports to senior leadership to support informed decision-making. Collaborate with cross-functional teams to align financial objectives with operational goals, driving continuous improvement in budgetary performance and asset utilization.

Assist with the development and oversight of facility maintenance budget preparations and management.

Oversee utility usage and identify opportunities for budget reductions through strategic efficiency measures.

Maintain precise documentation of estate assets, associated equipment, warranties, and historical maintenance records to ensure comprehensive tracking and accountability.

Suggest implementing facility upgrades and enhancement initiatives wherever improvements are feasible.

Seeking candidates with a minimum of three years of relevant experience in the field, complemented by a Bachelor’s degree in a related discipline. Proficiency in industry-standard software and tools is essential, along with strong analytical and problem-solving capabilities. The ideal applicant will demonstrate exceptional communication skills and the ability to collaborate effectively within cross-functional teams. Prior experience managing complex projects from inception to completion is highly desirable. Familiarity with regulatory compliance and best practices in the industry is a prerequisite.

A relevant academic background such as a Bachelor’s Degree, Higher National Diploma (HND), or equivalent qualification in Engineering, Facilities Management, Building Technology, Estate Management, or a closely related discipline is required.

A minimum of three years of hands-on experience in overseeing residential estates, apartment complexes, hotels, or comparable properties is required.

A comprehensive understanding of facility operations, strategic maintenance planning, and proficient vendor management capabilities are essential.

Proficiency with Microsoft Office and facility management systems is beneficial.
