Overview
The PSM Intern will collaborate closely with the state-based SCMS Specialist and project partners to support all facets of project management and execution at the state level. The intern will provide assistance to the Specialist in maintaining efficient project operations and ensuring comprehensive oversight of all project activities. Responsibilities will include contributing to logistics processes within the project-related SCMS and handling documentation tasks. The intern will further support the Specialist in the timely and effective implementation of all technical project activities. Additionally, the intern will aid the Specialist in monitoring routine activities at the LGA level, such as data validation meetings, data entry, supply chain data collection, last-mile distribution spot-checks of health commodities, and training sessions.
Oversee key operational tasks to ensure seamless daily functioning, including managing staff schedules, coordinating workflows, and maintaining compliance with organizational policies. Monitor performance metrics to identify trends, address inefficiencies, and implement corrective actions as needed. Lead team meetings to foster collaboration, align on objectives, and track progress toward established goals. Supervise inventory control, procurement processes, and resource allocation to optimize efficiency and minimize waste. Ensure adherence to safety protocols, regulatory standards, and quality assurance guidelines across all operations. Provide ongoing training and professional development opportunities to enhance team competency and productivity. Collaborate with cross-functional departments to streamline communication, resolve interdepartmental challenges, and support strategic initiatives. Prepare detailed reports on operational outcomes, budget performance, and key performance indicators for leadership review.
The creation and compilation of activity reports is a key responsibility, requiring meticulous attention to detail and strong organizational skills to ensure accuracy and completeness. This role involves preparing comprehensive reports that document ongoing activities, progress, and outcomes in a clear, structured format suitable for stakeholders and decision-makers. Proficiency in written communication and the ability to synthesize complex information into concise summaries are essential. Additionally, the position demands adherence to deadlines and compliance with reporting standards to maintain consistency and reliability in all documentation.
The role involves developing internal process tools, including activity profiles, purchase requests, travel advance requests, and expense reports.
Supporting the Specialist in organizing and coordinating logistics for meetings, workshops, and training sessions involving state government representatives and other partners or stakeholders.
Maintaining a comprehensive inventory of project equipment at the state level ensures accurate tracking of resources, facilitates efficient allocation, and supports compliance with regulatory requirements.
You will monitor and evaluate ongoing activities to verify that partners and local contractors strictly follow approved work plans, achieve specified milestones, meet deliverables and performance benchmarks, and provide necessary technical guidance as required.
The incumbent will support the oversight of program execution and the allocation of resources.
Support the oversight of routine activities, including reviewing LUIS data on the NHL MIS platform, reconciling and validating POD’s, conducting BID IDT, and implementing quality improvement measures for BFSR.
Routinely perform data entry tasks at the state level to ensure accurate and timely processing of information.
Facilitate the monitoring of final-mile delivery for malaria health commodities and related supplies.
The role involves facilitating knowledge management processes, specifically the documentation of success stories and lessons learned.
Performs other duties as assigned by the supervisor.
We are seeking a highly motivated individual with a Bachelor’s degree in a related field and at least three years of hands-on experience in a comparable role. Candidates must demonstrate strong analytical skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Proficiency in industry-standard software, excellent written and verbal communication abilities, and a proven track record of delivering high-quality results are essential. A bachelor’s degree in pharmacy or higher is required for this position.
A minimum of one year’s experience in malaria project implementation, public health, or health systems strengthening is required.
Established proficiency in cultivating and sustaining high-level connections with executives, key stakeholders, and benefactors.
Able to prioritize effectively, handle multiple tasks in fast-paced settings, and consistently meet deadlines while maintaining high standards of detail and quality.
Demonstrates a readiness to travel approximately 25% of the time as required by the role.
Proven ability to communicate effectively in both written and verbal formats.
Experienced in utilizing Microsoft Office Suite, including Excel, Word, and PowerPoint, with a high level of expertise.
Proficient English writing and presentation abilities are a prerequisite.
Develops and delivers effective training programs, ensuring optimal knowledge transfer and skill enhancement among participants through engaging facilitation techniques.
