We seek a Procurement Administrator to deliver comprehensive administrative, compliance, and documentation services to our Procurement Department, guaranteeing seamless operations and full adherence to company policies and ISO standards.

The ideal candidate demonstrates meticulous attention to detail, strong organizational skills, and the ability to efficiently handle documentation, audit coordination, and vendor compliance activities with minimal oversight.

Oversee and execute key operational duties to ensure seamless business processes, including managing daily workflows, coordinating team activities, and implementing efficiency improvements. Develop and maintain strong relationships with stakeholders, clients, and vendors to foster collaboration and drive project success. Monitor performance metrics to identify trends, address inefficiencies, and implement data-driven solutions. Lead cross-functional initiatives, delegate tasks effectively, and ensure adherence to company policies and industry regulations. Prepare and present reports to senior leadership, summarizing progress, challenges, and strategic recommendations. Act as a mentor to team members, providing guidance, feedback, and professional development opportunities to enhance team capabilities and engagement.

Oversee the ongoing management and periodic revision of procurement policies, standard operating procedures (SOPs), and all internal departmental documentation to ensure alignment with organizational standards and regulatory requirements.

Coordinate internal and external audits for the Procurement Department and oversee the prompt resolution of audit findings.

Oversee the vendor registration and revalidation workflows to maintain up-to-date and compliant supplier documentation.

Collaborate with the Legal Department to establish Service Level Agreements (SLAs), oversee contract negotiations, and manage vendor agreements.

Ensure all records within the Procurement Quality Management System (QMS) are meticulously maintained in strict adherence to ISO standards.

Develop and sustain a robust document management and archiving system specifically tailored for procurement records and contractual documentation.

You will be responsible for receiving, validating, and routing procurement documents to the Finance department and other pertinent teams as required.

Prepare procurement reports, trackers, and dashboards on a consistent basis while ensuring they are accurate and up-to-date.

Coordinate and facilitate departmental meetings by developing detailed agendas, documenting comprehensive minutes, and maintaining a systematic log of action items to ensure follow-up and accountability.

Provide assistance to the procurement team throughout the entire procurement process, encompassing requisitions, purchase orders, vendor documentation, and supplier interactions.

Proven expertise in Microsoft Excel, with a particular emphasis on LOOKUP and reporting functionalities, is required.

Demonstrates exceptional precision, strong organizational abilities, and proficient written communication skills.
