The Inventory/Store Officer oversees the organized receipt, storage, issuance, documentation, and reconciliation of all materials, equipment, tools, and consumables within X-Force Engineering Limited’s storage facilities across its construction and infrastructure project sites. This position demands a comprehensive knowledge of construction and civil engineering materials to ensure precise identification, quality assessment, and proper storage of all stocked items.

Oversee and execute critical responsibilities and primary duties, ensuring alignment with organizational objectives and operational standards. Actively lead and manage key tasks, demonstrating expertise in specialized areas while maintaining high levels of efficiency and accuracy. Collaborate with cross-functional teams to drive project completion, address challenges, and uphold accountability for deliverables. Foster a culture of continuous improvement by identifying opportunities for optimization, innovation, and process enhancement. Serve as a pivotal resource for stakeholders, providing guidance, support, and strategic insights to facilitate informed decision-making and sustained success.

Responsible for receiving, meticulously examining, and validating all incoming materials and equipment against corresponding purchase orders, delivery notes, and project specifications to confirm compliance with required quantities, grades, dimensions, and quality standards prior to warehouse acceptance. Any items failing to meet these specifications must be promptly rejected and formally documented.

Apply an extensive understanding of construction and civil engineering materials—such as reinforcement bars (rebar), structural steel sections, cement types, concrete blocks, aggregates, pipes and fittings, formwork, waterproofing materials, mechanical components, and site consumables—to meticulously identify, categorize, and confirm the accuracy of all received and issued stock items on a daily basis.

Accurately and promptly document all stock movements—including receipts, issuances, returns, and write-offs—in the inventory management system or stock register on the day they occur, ensuring records remain complete, clear, and fully supported by approved documentation at all times.

Perform routine stock assessments, including daily spot checks, weekly cycle counts, and comprehensive monthly physical inventories, ensuring alignment between physical counts and system records. Identify and analyze any discrepancies, then promptly communicate variances to the Procurement Manager for resolution.

Monitor all critical construction materials to ensure minimum stock levels and reorder points are maintained, promptly submitting material requisitions to the Procurement Manager when inventory reaches the specified reorder threshold. This proactive approach helps avert material shortages that could disrupt site operations or compromise project delivery schedules.

Organize and sustain the store in a consistently clean, secure, and orderly manner, guaranteeing that all materials are properly labeled, accurately classified, stored in their assigned areas, and administered under a First-In, First-Out (FIFO) system to minimize deterioration, waste, or expiration of time-sensitive items such as cement, sealants, and adhesives.

Maintain strict adherence to store access protocols and verify that every material issuance is accompanied by a fully completed and authorized Material Requisition Note (MRN) prior to the release of any item, thereby ensuring a comprehensive and accurate log of all transactions and preventing unauthorized removal of materials or equipment.

Identify, document, and escalate any damaged, deteriorated, or non-conforming materials to the Procurement Manager and Site Engineer, while maintaining an accurate Damaged Goods Register. Additionally, coordinate the return of such items to suppliers or ensure their proper disposal in strict adherence to X-Force Engineering Limited’s established procurement and site management protocols.

Compile and deliver precise weekly and monthly stock reports to the Procurement Manager and Project Manager, detailing current stock levels categorized by material type, along with materials received and issued within the reporting period. Additionally, highlight slow-moving or obsolete stock items and outstanding purchase orders. Provide material cost and stock data to the Finance Department as needed to support project cost tracking and budget reporting.

Ensure strict adherence to all Health, Safety, and Environment (HSE) protocols throughout the store and materials handling area, including proper manual handling techniques, correct stacking and storage of heavy construction materials, utilization of required personal protective equipment (PPE), and maintaining unobstructed emergency access routes. Additionally, collaborate with site supervisors and the Finance Department to facilitate accurate final settlement of store-related accounts upon completion of the project.

Seeking candidates with a Bachelor’s degree in a relevant field and a minimum of three years of professional experience in a similar role, ideally in a financial service or fintech environment. Strong analytical skills, proficiency in data analysis tools, and exceptional attention to detail are essential. Experience with financial modeling, risk assessment, or regulatory compliance is highly advantageous. Excellent communication abilities, both written and verbal, are required to collaborate effectively with cross-functional teams. Familiarity with industry-specific software and the capacity to work under tight deadlines are also key considerations.

Bachelor’s degree in a relevant field or equivalent professional experience is required for consideration.

A Bachelor of Science (B.Sc.) or Higher National Diploma (HND) in Supply Chain Management, Business Administration, Civil Engineering Technology, Quantity Surveying, or an equivalent field is required.

A recognized professional certification in Supply Chain Management, Stores Management, or Procurement—such as the CAPS Foundation or a similarly accredited CI PMN-recognized qualification—is considered advantageous.

Seeking candidates with relevant professional experience in the field. Applicants must possess a minimum of three years of hands-on experience in a similar role, demonstrating expertise and problem-solving abilities. Prior experience in project management, team leadership, or related areas is highly desirable, along with a proven track record of achieving measurable results. Familiarity with industry-specific tools, software, or methodologies is required to ensure seamless integration and performance in the position.

Seeking candidates with a minimum of two to four years of practical experience in inventory management, stores operations, or materials handling, with a strong inclination toward those who have worked directly within the construction, civil engineering, infrastructure development, or related heavy-industry fields.

Possesses hands-on expertise in construction materials, including reinforcement bars, structural steel, cement, aggregates, pipes and fittings, formwork, and civil works consumables, gained through on-site or inventory management experience within a construction setting.

Proven expertise in maintaining accurate stock records through manual tracking methods and/or advanced inventory management software, including enterprise resource planning (ERP) systems, is required.

Proven expertise in performing physical stock counts, identifying and resolving inventory discrepancies, and generating comprehensive stock reports for managerial evaluation.

Experience in HSE-focused construction or site environments, demonstrating a thorough grasp of safe materials handling and storage protocols.
