The Inventory/Store Officer is tasked with managing the systematic receipt, storage, issuance, documentation, and reconciliation of all materials, equipment, tools, and consumables within X-Force Engineering Limited’s inventory across its construction and infrastructure project sites. This position demands a strong knowledge of construction and civil engineering materials to ensure precise identification, quality assurance, and proper storage of all stock items.

Oversee and execute a range of critical responsibilities and duties, ensuring alignment with organizational objectives. This role demands meticulous attention to detail, proactive problem-solving, and a commitment to delivering high-quality results. Key tasks include managing day-to-day operations, fostering team collaboration, and maintaining compliance with established policies and procedures. Additionally, the position requires strong analytical skills to assess performance metrics, identify trends, and implement data-driven improvements. Effective communication and stakeholder engagement are essential to bridge gaps between departments and drive cohesive decision-making. The role also entails overseeing project timelines, allocating resources efficiently, and mitigating risks to safeguard operational continuity.

Responsibilities include receiving, examining, and validating all incoming materials and equipment against corresponding purchase orders, delivery notes, and project specifications to confirm accuracy in quantities, grades, dimensions, and quality standards prior to warehouse acceptance. Any items failing to meet the specified criteria must be promptly rejected and thoroughly documented for further review.

Apply a comprehensive understanding of construction and civil engineering materials—such as reinforcement bars (rebar), structural steel sections, cement varieties, concrete blocks, aggregates, pipes and fittings, formwork, waterproofing materials, mechanical components, and site consumables—to systematically identify, categorize, and validate all received and issued stock items on a daily basis.

Maintain precise and timely documentation of all stock activities—including receipts, issuances, returns, and write-offs—by recording them in the inventory management system or stock register on the day they occur, ensuring records remain comprehensive, clear, and fully substantiated by approved documentation at all times.

Perform routine stock audits, including daily spot checks, weekly cycle counts, and comprehensive monthly physical inventories, by comparing physical counts with system records, analyzing any variances that arise, and promptly escalating discrepancies to the Procurement Manager for resolution.

Monitor inventory levels for essential construction materials and maintain awareness of their reorder points, promptly submitting material requisitions to the Procurement Manager when stock levels fall to the specified threshold. This proactive approach ensures uninterrupted site operations and adherence to project delivery timelines by preventing material shortages.

Organize and uphold the store in a consistently clean, secure, and methodically structured state, ensuring all materials are properly labeled, accurately classified, stored in their assigned areas, and managed according to the First-In, First-Out (FIFO) principle to mitigate the risk of deterioration, waste, or expiration of time-sensitive products, including cement, sealants, and adhesives.

Enforce strict store access protocols and verify that all material issuances are accompanied by a fully completed and duly authorized Material Requisition Note (MRN) prior to any item being released from the store, thereby maintaining a comprehensive and precise transaction log while preventing any unauthorized removal of materials or equipment.

Identify, document, and notify the Procurement Manager and Site Engineer of any materials that are damaged, deteriorated, or fail to meet required standards, while maintaining an accurate Damaged Goods Register. Additionally, coordinate the return of non-conforming items to suppliers or ensure their proper disposal, strictly adhering to X-Force Engineering Limited’s established procurement and site management guidelines.

Compile and deliver precise weekly and monthly stock reports to the Procurement Manager and Project Manager, detailing current inventory levels segmented by material category, alongside materials received and issued throughout the period. Additionally, identify slow-moving or obsolete stock items and monitor outstanding purchase orders. Provide material cost and inventory data to the Finance Department upon request to support project cost tracking and budget reporting.

Maintain strict adherence to all Health, Safety, and Environment (HSE) protocols throughout the store and materials handling area, encompassing proper manual handling techniques, secure stacking and storage of heavy construction materials, correct usage of personal protective equipment (PPE), and the preservation of unobstructed emergency access routes. Additionally, collaborate with site supervisors and the Finance Department to verify accurate final settlement of store-related accounts upon project completion.

Seeking candidates with solid academic credentials and relevant professional experience in the field. Applicants must possess a minimum of a bachelor’s degree in a related discipline, complemented by at least three years of hands-on experience in a comparable role. Strong analytical, problem-solving, and communication skills are essential, along with proficiency in industry-standard software and tools. The ideal candidate will demonstrate a track record of delivering measurable results, collaborating effectively in team environments, and adapting to evolving industry trends. Additional certifications or specialized training in pertinent areas are highly advantageous.

Minimum educational prerequisites include a bachelor’s degree in a relevant field, such as computer science, engineering, business administration, or a related discipline. Additionally, candidates must possess a minimum of three years of hands-on experience in a comparable role, demonstrating proficiency in key technical skills and industry best practices. A bachelor’s degree (B.Sc.) or Higher National Diploma (HND) in Supply Chain Management, Business Administration, Civil Engineering Technology, Quantity Surveying, or a closely related field is required.

A recognized professional certification in Supply Chain Management, Stores Management, or Procurement—such as the CAPS Foundation or another qualification accredited by CI PMN—would be considered advantageous.
