The Inventory/Store Officer is tasked with overseeing the organized receipt, storage, distribution, documentation, and reconciliation of all materials, equipment, tools, and consumables within X-Force Engineering Limited’s warehouse facilities across its construction and infrastructure project sites. This position demands a comprehensive knowledge of construction and civil engineering materials to ensure precise identification, quality assessment, and proper storage of all inventory items.
Oversee a comprehensive range of duties and responsibilities central to the role, ensuring alignment with organizational objectives and operational excellence. Execute core tasks with precision, including strategic planning, project management, and cross-functional collaboration to drive performance and innovation. Perform thorough inspections of all incoming materials and equipment to confirm compliance with purchase orders, delivery documentation, and project specifications, validating quantities, grades, dimensions, and quality benchmarks prior to storage. Any discrepancies must be promptly identified, documented, and reported, with nonconforming items rejected to uphold established standards.
With expertise in construction and civil engineering materials—such as reinforcement bars (rebar), structural steel sections, cement types, concrete blocks, aggregates, pipes and fittings, formwork, waterproofing materials, mechanical components, and site consumables—ensure precise identification, classification, and verification of all stock items received and issued on a daily basis.
Accurately and promptly document all stock activities—including receipts, issuances, returns, and write-offs—in the inventory management system or stock register on the day they occur, maintaining complete, clear, and fully supported records with approved documentation at all times.
Perform routine stock counts, including daily spot checks, weekly cycle counts, and comprehensive monthly physical inventory assessments, by comparing physical counts with system records. Upon identifying any variances, conduct detailed investigations and promptly report discrepancies to the Procurement Manager.
Monitor inventory levels for essential construction materials to ensure they never fall below established minimums, and promptly initiate procurement requests with the Procurement Manager once stock reaches the predetermined reorder point. This proactive measure helps avert potential material shortages that could disrupt on-site operations or compromise project completion timelines.
Ensure the store is consistently maintained in a neat, secure, and well-organized manner, with all materials properly labelled, accurately categorized, and stored in their designated areas. Implement and adhere to a First-In, First-Out (FIFO) system to minimize the risk of deterioration, spoilage, or expiration of time-sensitive items, including cement, sealants, and adhesives.
Enforce store access protocols and verify that every material issued is accompanied by a fully completed and duly authorized Material Requisition Note (MRN) prior to any item being released from the store. Maintain comprehensive and precise records of all transactions while safeguarding against any unauthorized removal of materials or equipment.
Responsibilities include detecting, isolating, and documenting any materials that are compromised, degraded, or below standard, notifying both the Procurement Manager and Site Engineer, and maintaining an accurate Damaged Goods Register. Additionally, you will facilitate the return of non-conforming items to suppliers or ensure their proper disposal, strictly adhering to X-Force Engineering Limited’s established procurement and site management protocols.
Compile and deliver precise weekly and monthly stock reports to the Procurement Manager and Project Manager, highlighting current stock levels categorized by material type, materials received and distributed over the period, slow-moving or obsolete inventory items, and pending purchase orders. Additionally, furnish material cost and stock-related data to the Finance Department as needed for project cost monitoring and budget reporting.
Maintain strict adherence to all Health, Safety, and Environment (HSE) protocols throughout the store and materials handling area, encompassing proper manual handling techniques, correct stacking and storage of heavy construction materials, utilization of designated personal protective equipment (PPE), and ensuring unobstructed emergency access routes — while collaborating with site supervisors and the Finance Department to finalize store-related accounts accurately upon project completion.
Seeking a candidate with a Bachelor’s degree in a relevant field, along with at least three years of hands-on experience in a comparable role. The ideal applicant must demonstrate strong analytical skills, proficiency in industry-standard software, and the ability to collaborate effectively within a team. Familiarity with project management methodologies and a track record of delivering measurable results are essential. Excellent communication skills, both written and verbal, are required to interact with stakeholders and convey complex information clearly. Prior experience in a leadership or supervisory capacity is highly desirable.
Bachelor’s degree in a relevant field such as Computer Science, Information Technology, Business Administration, or a related discipline is required.
A Bachelor of Science (B.Sc.) or Higher National Diploma (HND) in disciplines such as Supply Chain Management, Business Administration, Civil Engineering Technology, Quantity Surveying, or an equivalent field is required.
A recognized professional certification in Supply Chain Management, Stores Management, or Procurement—such as the CAPS Foundation or a comparable qualification accredited by CI PMN—is highly advantageous.

Proven expertise in construction materials, including reinforcement bars, structural steel, cement, aggregates, pipes and fittings, formwork, and civil works consumables, developed through hands-on site or store-based roles within a construction setting.
Proven expertise in maintaining accurate stock records, whether through manual methods or with the assistance of inventory management software and enterprise resource planning (ERP) systems, is required.
Conduct physical stock counts, analyze inventory discrepancies, and compile comprehensive stock reports for managerial evaluation.
