The position reports directly to the Chief Operating Officer (COO), serving as a key member of the executive leadership team. Overseeing a range of critical duties, the role involves managing operational workflows, coordinating team activities, and ensuring compliance with established policies and procedures. The position involves overseeing and managing patient reservations to ensure accurate and efficient scheduling. Professionally address patient inquiries received through various communication channels, including phone, email, and Crisp, in a prompt and courteous manner while effectively resolving their concerns or needs.

Overseeing physician appointment calendars, coordinating appointment timings, and ensuring optimal allocation of clinical resources constitute key responsibilities. This role demands meticulous attention to detail to prevent scheduling conflicts and delays. Proficiency in electronic health record (EHR) systems and scheduling software is essential, as is the ability to communicate effectively with both medical staff and patients. Strong organizational skills and the capacity to adapt to dynamic healthcare environments are required to maintain seamless operations.

Create monthly reports that compile data on appointment bookings, physician schedules, patient feedback, and operational performance metrics, then present these findings to relevant stakeholders.

Qualifications:

A bachelor’s degree in healthcare administration, business management, or a closely related discipline is strongly preferred.

With a minimum of three years of direct customer interaction experience—ideally within a medical or healthcare setting—you bring a seasoned background in delivering exceptional service to diverse clientele.

Proficiency in customer relationship management systems, appointment scheduling software, or telemedicine platforms is beneficial.

Demonstrates exceptional precision and meticulousness in managing tasks, along with the ability to maintain structured and efficient workflows.

Proven ability to analyze complex situations effectively and devise innovative solutions to challenges is essential. Demonstrates a keen capacity for critical thinking and resolving issues with precision and adaptability.

Proven ability to prioritize tasks efficiently, collaborate effectively with colleagues, and articulate ideas clearly.

Acquires new technical skills and knowledge with ease, demonstrating flexibility in mastering evolving tools and systems.

Certification in healthcare administration or medical office management is considered advantageous.
