The After Sales – ERP Associate (SAP) is responsible for ensuring the accuracy, completeness, and integrity of all after-sales data within the SAP system. This position requires executing structured daily, weekly, and monthly system entries, including warranty claims, service orders, field returns, spare parts transactions, and reverse logistics movements. In addition to transactional data processing, the Associate will develop and maintain a performance dashboard to track after-sales activity, support reporting cycles, and contribute to data hygiene initiatives, spare parts inventory management, and the ongoing enhancement of SAP utilization across the after-sales organization.

We are currently seeking a skilled professional to oversee SAP data entry and transaction management tasks, ensuring accuracy and efficiency in all operational processes. The ideal candidate will be responsible for maintaining data integrity, processing transactions promptly, and adhering to established protocols. Proficiency in SAP systems, strong attention to detail, and the ability to work within tight deadlines are essential requirements for this role. Additionally, the position demands effective communication skills to collaborate with cross-functional teams and resolve any discrepancies that may arise.

Execute SAP entries systematically and punctually on a daily, weekly, and monthly basis, encompassing all post-sales transactions such as warranty claims, service orders, repair job cards, goods receipts, goods issues, and returns.

Develop and manage Service Notifications, Service Orders (CS module), and Repair Orders within SAP, maintaining precise classification, coding, and status tracking throughout each process lifecycle.

Accurately document and manage all incoming return goods transactions in SAP, such as material returns processed via MILO, transfer postings, and scrapping activities, ensuring complete visibility and traceability from initial receipt to final disposal.

Process all spare parts transactions—including issuances and receipts—in SAP, verifying that every stock movement is documented promptly and accurately with the appropriate cost centers, plant identifiers, and storage locations.

Prepare month-end and period-close accounting entries for the after-sales function, performing GR/IR reconciliation, clearing open orders, and updating stock valuations.

Ensure the precision of master data by overseeing material master, service master, customer master, and equipment records, promptly identifying inconsistencies and escalating them to the system administrator for correction.

Design and maintenance of performance dashboards is required as part of this role. The successful candidate will be responsible for creating and updating visualizations that accurately reflect key performance metrics and data trends. Proficiency in dashboard design tools and data visualization software is essential, along with a strong understanding of data analysis principles. Collaboration with cross-functional teams will be necessary to gather requirements and ensure dashboards meet business needs. Ongoing monitoring and optimization of dashboard performance will also be a key responsibility.

Design, construct, and oversee a robust after-sales performance dashboard, aggregating and visualizing data sourced from SAP and other supporting systems such as Excel, Power BI, or SAP Analytics Cloud.

Develop and implement standardized dashboard templates to be deployed across various regions, guaranteeing uniformity in definitions, data sources, and reporting periods.

Work collaboratively with After Sales Managers and regional teams to determine new metrics or reporting formats needed as the business expands.

Oversee the version control and documentation processes for dashboard logic, data sources, and refresh schedules to ensure accuracy and consistency.

Maintains the accuracy, consistency, and reliability of data while ensuring system cleanliness and optimal performance.

Perform periodic audits of SAP data to detect and rectify discrepancies such as duplicate records, incorrect material codes, improperly classified service orders, and unresolved transactions that remain open.

Monitor and address discrepancies in Goods Receipt/Invoice Receipt (GR/IR) accounts, investigate unvalidated service orders, and eliminate outdated purchase requisitions or purchase orders linked to post-sales operations.

To uphold data entry standards within the after-sales team, establish and maintain Standard Operating Procedures (SOPs), checklists, and training materials, ensuring uniform and precise system utilization.

Consistently detect data quality issues that compromise reporting precision and collaborate with key stakeholders to develop and execute corrective and preventive measures.

Collaborate in SAP system upgrades, configuration modifications, or new module implementations by executing transaction tests, verifying data migration accuracy, and recording detailed results.

Analyze and oversee performance metrics, ensuring accurate and timely reporting to support strategic decision-making, while monitoring key indicators to identify trends, anomalies, or areas for improvement. Develop and maintain comprehensive dashboards, reports, and visualizations that clearly communicate performance insights to stakeholders across various departments. Evaluate the effectiveness of operational processes by comparing actual results against established benchmarks and targets, providing actionable recommendations to enhance efficiency and productivity. Collaborate with cross-functional teams to gather data, validate findings, and implement corrective measures where necessary. Ensure compliance with regulatory requirements and internal policies through meticulous data tracking and documentation.

Prepare and disseminate routine after-sales reports on a daily, weekly, and monthly schedule, encompassing warranty aging reports, summaries of open service orders, spare parts consumption reports, and return goods status reports.

Compile monthly after-sales performance reports for leadership review, integrating SAP data with field inputs and providing commentary on variances in comparison to targets.

Track and monitor after-sales cost components such as warranty expenditures, repair labor, spare parts investments, and asset write-offs to ensure precise accruals for Finance.

Monitor service and repair order SLAs and TAT’s to ensure adherence, promptly identifying any breaches or recurring issues and escalating findings to management for action.

Spare Parts & Reverse Logistics

We seek a dynamic individual to oversee the management of spare parts inventory and reverse logistics operations. The role involves ensuring the availability of critical components to support ongoing maintenance and repair activities while efficiently handling the return, refurbishment, or disposal of used equipment and parts. Key responsibilities include coordinating with suppliers to procure necessary parts, maintaining accurate inventory records, and optimizing reverse logistics processes to minimize waste and reduce costs. The ideal candidate will have proven experience in logistics, inventory management, or related fields, along with strong analytical skills to identify opportunities for improvement. Familiarity with supply chain principles and reverse logistics practices is essential.

Oversee the complete lifecycle of spare parts transactions within SAP, beginning with purchase requisitions and goods receipts and extending through issuance, transfers, and returns. Provide support to the After Sales team in processing supplier warranty claims by maintaining up-to-date and precise SAP records, including serial numbers, material documents, and service orders.

Assess SAP inventory records to pinpoint slow-moving, surplus, and obsolete spare parts, facilitating timely periodic reviews and streamlining associated write-off procedures.

Overseeing the inventory of spare parts requires meticulous organization and tracking to ensure optimal stock levels and operational efficiency. This role demands a keen attention to detail for accurate record-keeping, timely replenishment, and precise forecasting to prevent shortages or excesses. Candidates must demonstrate proficiency in inventory management systems, analytical skills for data interpretation, and the ability to coordinate with procurement teams to maintain supply chain integrity.
