Oversee the implementation and execution of all duties associated with the role, ensuring adherence to established protocols and standards. Accurate data recording and efficient job management are essential responsibilities for this role, ensuring precise documentation and streamlined workflows.

Maintain up-to-date documentation by promptly logging all incoming requests, job status updates, fault logs, and closure details within the job tracking system.

Maintain an accurate and comprehensive log of all job-related activities, including open, in-progress, completed, and cancelled tasks. Ensure each entry includes precise dates, designated engineer assignments, and current status updates.

Track materials utilized for each job assignment and ensure inventory records are updated promptly and accurately.

Oversee the organization, maintenance, and retrieval of physical and digital records to ensure compliance with established retention policies and accessibility standards. Implement systematic filing procedures, including categorization, indexing, and labeling, to streamline document management and retrieval processes. Monitor archival systems, update records as necessary, and ensure the secure disposal of outdated or sensitive materials in accordance with legal and organizational requirements. Collaborate with team members to resolve filing discrepancies and maintain the integrity of the filing infrastructure.

All job cards, completion forms, fault reports, and project documents must be archived within 24 hours following job closure.

Maintain a streamlined physical and digital filing system through the implementation of uniform naming conventions and clear categorization methods.

Perform a monthly review of all files to detect and address any deficiencies or absent documentation, ensuring completeness and accuracy of records.

Reporting directly to the designated supervisor, this role involves delivering detailed updates and analyses on a regular basis. The incumbent will prepare comprehensive reports that highlight key performance indicators, operational metrics, and project milestones, ensuring stakeholders remain fully informed. Presentations may be required to convey complex information in an accessible manner, fostering transparency and strategic alignment within the organization. Additionally, the position necessitates adherence to established reporting schedules and compliance with internal and external communication protocols.

Prepare the weekly department activity report for submission, ensuring it undergoes review by the Fiber Back-office Team Lead beforehand.

Develop a monthly performance dashboard that includes key performance indicators, job volumes, service level agreement adherence, and material consumption metrics.

Prepare ad hoc reports as needed, upon request from either the Team Lead or Head of Department (HOD).

Responsible for maintaining the integrity and availability of critical backup systems, the Backup Coordinator ensures that all data is securely stored, regularly updated, and readily retrievable in the event of system failures or data loss. This role involves overseeing backup schedules, verifying the accuracy of backups, and coordinating recovery procedures when necessary. The incumbent will collaborate with IT teams to implement best practices in backup strategies, troubleshoot issues, and document procedures to ensure compliance with organizational and regulatory standards. Strong attention to detail, technical proficiency in backup software, and the ability to manage multiple priorities in a fast-paced environment are essential for success in this position.

During periods of absence, this role will assume full responsibility for managing all coordinator duties, including intake of requests, preparation of work orders, confirmation of client appointments, and facilitation of interdepartmental communication.

Possess comprehensive knowledge of coordinator tools and maintain an up-to-date network of contacts to seamlessly assume responsibilities without causing operational delays.

Requirement

A minimum qualification of OND or HND in Business Administration, Information Management, or a closely aligned discipline is required.

Seeking candidates with one to two years of experience in administrative support, data processing, or records management. Prior exposure to the telecommunications sector is considered beneficial.

Demonstrates strong proficiency in Microsoft Excel and Word, with prior experience using job tracking or CRM tools considered beneficial.
