Job Summary

We are in search of a meticulously organized, tactful, and proactive Personal Assistant to deliver comprehensive executive and personal support to the CEO. The preferred candidate will possess substantial experience in assisting C-level executives, overseeing intricate schedules, safeguarding confidential information, and coordinating both professional and personal activities with the highest level of professionalism.

Oversee and execute essential duties to ensure seamless operations and strategic alignment with organizational goals by implementing key initiatives, managing cross-functional projects, and fostering collaboration across teams to drive performance excellence. Develop and maintain policies, procedures, and best practices to optimize workflow efficiency while ensuring compliance with industry regulations and internal standards. Lead and mentor high-performing teams through clear goal-setting, performance evaluations, and professional development opportunities to maximize productivity and engagement. Analyze data and metrics to identify trends, mitigate risks, and implement data-driven decisions that enhance operational effectiveness and business growth. Serve as a liaison between senior leadership and staff to facilitate transparent communication, align priorities, and resolve complex challenges proactively.

Responsible for overseeing and maintaining executive calendars with precision, this role involves coordinating meetings, appointments, and travel arrangements while ensuring alignment with organizational priorities. Duties include managing complex schedules, prioritizing requests, and acting as a liaison between executives and stakeholders to facilitate seamless operations. Strong organizational skills, discretion, and the ability to anticipate needs are essential, along with proficiency in calendar management tools and exceptional communication abilities.

Oversee the CEO’s professional and private calendar, coordinating meetings, engagements, appointments, and travel arrangements with precision and efficiency.

Oversee the planning and execution of both domestic and international travel logistics, encompassing flight bookings, accommodation arrangements, ground transportation, and visa procurement.

Develop comprehensive meeting briefs, agendas, and supplementary documents prior to scheduled engagements to ensure thorough preparation and alignment among participants.

When deemed necessary, serve as the CEO’s delegate in meetings and contribute insights regarding the results and follow-up actions.

Effective communication management involves developing and executing strategies to share information clearly and consistently across various channels. This role requires strong interpersonal skills to build relationships with stakeholders and ensure alignment with organizational objectives. Responsibilities include crafting messages, managing media relations, overseeing internal communications, and monitoring feedback to enhance engagement. Proficiency in written and verbal communication, along with the ability to adapt messaging for diverse audiences, is essential. Familiarity with digital communication tools and crisis communication protocols is also required.

Oversee and rank incoming emails, calls, and correspondence based on urgency and importance.

Craft formal replies and oversee correspondence on behalf of the Chief Executive Officer.

Professionally screen incoming calls, manage callback schedules, and escalate high-priority issues with discretion when necessary.

Guarantee that all external communications adhere to established professional and corporate guidelines.

Task and project coordination involves meticulously organizing, tracking, and overseeing various initiatives to ensure timely and efficient completion. This role requires strong attention to detail, exceptional organizational skills, and the ability to manage multiple priorities simultaneously. Responsibilities include setting clear objectives, delegating tasks to appropriate team members, monitoring progress, and resolving any obstacles that may arise. Effective communication and collaboration with stakeholders are essential to align goals and maintain transparency throughout the project lifecycle. Proficiency in project management tools and methodologies is often required to streamline workflows and enhance productivity.

Monitor critical tasks, initiatives, and directives spanning multiple business units.

The ideal candidate must possess a bachelor’s degree in a relevant field, such as engineering, computer science, or mathematics, and demonstrate at least five years of professional experience in a similar role. Proficiency in data analysis, project management, and technical writing is essential, along with strong communication skills to collaborate effectively with cross-functional teams. Familiarity with industry-standard software, tools, and methodologies is required, and prior experience in a leadership or mentorship capacity is highly desirable. Additionally, the position demands the ability to adapt to evolving technologies and business needs while maintaining a results-driven approach.

A bachelor’s degree in Business Administration or an equivalent discipline is required.

A minimum of five years of professional experience is required in the capacity of a Personal Assistant or Executive Assistant, with a focus on supporting senior-level executives.

Accomplished in overseeing intricate executive and personal calendars with precision and efficiency.

Possesses exceptional verbal and written communication abilities, coupled with refined business etiquette standards.

Demonstrated proficiency in financial literacy along with the capacity to manage confidential financial data with discretion and integrity.

Maintains a high standard of discretion, integrity, and confidentiality at all times.
