Job Summary

The Exile Group is currently recruiting a proactive and professional NYC Corps Member to fill the role of Admin Assistant.

You will deliver consistent administrative support to the Group, ensuring seamless internal processes while honing practical professional skills under the guidance of seasoned leaders.

We are seeking a highly organized and detail-oriented individual to manage our administrative tasks and support our team’s daily operations. The successful candidate will oversee scheduling, coordinate meetings, and maintain accurate records while ensuring efficient communication channels are in place. Additionally, they will be responsible for preparing reports, handling correspondence, and assisting with project coordination as needed. Proficiency in office software, strong time management skills, and the ability to multitask in a fast-paced environment are essential requirements for this role.

Deliver comprehensive administrative assistance to leadership and operational units throughout the organization.

Oversee all incoming and outgoing communications by preparing, receiving, processing, distributing, and organizing both electronic and physical correspondence, including emails and documents.

Ensure office records, files, and databases are meticulously maintained, organized, and updated while upholding the highest standards of accuracy and confidentiality.

Coordinate and manage meetings and appointments by handling scheduling, setting reminders, and preparing concise briefing notes.

Handle incoming visitors, phone calls, and inquiries with professionalism and courtesy to ensure a positive first impression.

Responsibilities include facilitating procurement processes by initiating purchase requests, monitoring shipment progress, and documenting inventory updates in logs.

Prepare reports, presentations, and internal documents as assigned, providing support in their compilation and organization.

Deliver assistance throughout events, activations, or programs orchestrated by the Group.

Perform additional administrative tasks as directed by the line manager, ensuring all responsibilities are completed efficiently and in accordance with established procedures.

As a candidate for this position, you must meet the following qualifications: a bachelor’s degree in a relevant field, at least three years of hands-on experience in a related role, proficiency in specific software tools, and strong problem-solving abilities. Additionally, excellent communication skills and the capacity to work under tight deadlines are essential. Prior experience with team leadership or project coordination is preferred. Familiarity with industry regulations and best practices will also be advantageous.

Must demonstrate current participation in the National Youth Service Corps (NYC) scheme, with deployment or redeployment to Lagos State.

Applicants must have their primary residence within the specified areas, including Leak, Victoria Island, Kofi, Ajax, or their surrounding environs. This requirement is essential and non-negotiable.

A Bachelor of Science degree or Higher National Diploma in Business Administration, Social Sciences, Humanities, or a closely related field is required.

Proficient written and verbal English communication skills, including the ability to convey information clearly and professionally, are required.

Demonstrated expertise in utilizing Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Highly disciplined, consistently prompt, dependable, and meticulous in safeguarding sensitive data.
