The Operations Support Personnel provides essential assistance to the company’s Last-mile operations, collaborating closely with dispatch riders. This position ensures the seamless execution of delivery schedules by coordinating with riders, overseeing vehicle maintenance, and facilitating clear communication among riders, customers, and the operations team. The role is integral to tracking deliveries, managing records, and addressing operational challenges in a timely manner.

Oversee and execute critical duties encompassing strategic planning, operational management, and performance optimization to ensure organizational objectives are met. Develop and implement policies, procedures, and systems to enhance efficiency, productivity, and compliance with industry standards. Lead cross-functional teams, fostering collaboration and accountability to drive project success and innovation. Monitor key performance indicators, analyze data trends, and provide actionable insights to senior leadership for informed decision-making. Ensure adherence to regulatory requirements, quality assurance, and risk mitigation strategies to maintain operational integrity and stakeholder trust.

Support the coordination of daily delivery schedules and verify the timely dispatch of vehicles.

Track the progression of deliveries, liaise with couriers, and notify customers of delivery updates as needed.

Oversee the organization and upkeep of fleet maintenance schedules while facilitating vehicle repairs and addressing emergency breakdowns in collaboration with the Operations Officer.

Responsibilities include meticulously documenting delivery routes, tracking vehicle usage, and recording maintenance activities in detailed logs to ensure comprehensive records.

Assist the Operations Officer in refining delivery routes and managing resource allocation efficiently.

Support the monitoring of essential performance indicators, including delivery timelines, vehicle usage rates, and operational expenses associated with fleet maintenance.

Maintain adherence to company safety standards and last-mile delivery policies through consistent safety inspections and adherence to maintenance protocols.

Offer comprehensive administrative assistance by maintaining accurate databases, compiling detailed reports, and ensuring all delivery and fleet documentation remains current and compliant.

Provide support in overseeing collaborations with external service providers, including vehicle maintenance suppliers and delivery partners.

Handle operational issues and customer inquiries promptly, escalating concerns to the Operations Officer when appropriate to ensure timely resolution.

Provide support in the hiring, orientation, and integration processes for newly recruited delivery riders.

Suggest and implement innovative ideas or tools to drive process improvements and enhance operational efficiencies.

Oversee the monitoring and administration of delivery-related costs, including expenses for battery charging, vehicle maintenance, and compensation for delivery personnel.

Execute any additional tasks as directed by the Operations Officer to support operational objectives.

Seeking a highly motivated and skilled professional with a minimum of five years of relevant experience in a similar role. The ideal candidate must possess exceptional organizational, communication, and problem-solving skills, with a keen attention to detail. A bachelor’s degree in a related field is required, and proficiency in industry-specific software is essential. Additionally, the candidate should demonstrate the ability to work independently, manage multiple priorities, and thrive in a fast-paced environment. Strong leadership and teamwork capabilities are also necessary, along with a commitment to continuous learning and professional development.

A relevant diploma or certification in Logistics, Supply Chain Management, Business, or a closely related discipline is highly desirable.

A minimum of one year of professional experience in logistics, fleet management, or operational support is required, with a preference for candidates who have worked in a last-mile delivery setting.

Proven expertise in utilizing delivery management platforms, fleet monitoring solutions, and advanced scheduling software is required.

Possesses strong organizational capabilities and excels at managing multiple tasks simultaneously within dynamic, high-pressure settings.

Possesses exceptional attention to detail and demonstrates proficiency in ensuring the accuracy of records and reports.

Demonstrates exceptional verbal and written communication abilities to effectively engage with riders, customers, and external service partners.

Proficient understanding of vehicle safety regulations and compliance standards is essential.

Strong analytical abilities are essential to promptly resolve operational challenges.

Demonstrated expertise in Microsoft Office Suite, including Excel and Word, as well as familiarity with other pertinent software applications.
