Job Purpose

We are seeking a skilled professional to oversee Logistics Information Management, ensuring the seamless coordination of data systems that support supply chain operations. Supply Chain Management and Procurement entail overseeing the end-to-end flow of goods and services, from sourcing and acquisition to distribution and delivery. Key responsibilities include strategically sourcing materials, negotiating contracts with suppliers, and ensuring timely procurement to meet organizational demands. Effective management of supplier relationships, inventory control, and cost optimization are also vital components of this role. Candidates should possess strong analytical skills, proficiency in procurement software, and a deep understanding of supply chain dynamics to drive efficiency and reduce operational expenses.

Plan, organize, and oversee the supply operations at the base while establishing priority levels. Develop and implement appropriate tools and procedures to ensure efficiency and effectiveness.

Execute local procurement activities, including Requests for Quotation (RFQ) and Direct Purchases, in alignment with INTERS OS and donor specifications. Promptly inform the line manager of any issues affecting the quality or availability of procured items to facilitate timely resolution.

Oversee the timely settlement of supplier payments and obtain all required supporting documentation, including receipts and delivery notes, from suppliers. Verify that original documents are present in the coordination office prior to processing any payments.

Assist the Country Supply Manager or Country Logistics Coordinator in executing all procurement tasks in accordance with IMP guidelines, while ensuring the timely upload and accurate archiving of all required documentation within IMS and the finance department.

Provide assistance to the Country Logistics Coordinator in verifying that all supply transactions—both incoming (INBOUND) and outgoing (OUTBOUND)—are accurately recorded in the IMS, while ensuring all supporting documents are uploaded and systematically filed within the system.

In partnership with the Country Logistics Coordinator and the Head of the Field Office, ensures the efficient utilization of the Inventory Management System (IMS) and maintains accurate inventory accounting.

Develop and adhere to the established Procurement Plan while collaborating closely with project personnel to facilitate local purchasing activities.

Prepare and forward all purchase requisitions to the Country Supply Manager for ITB, tenders, and any other procurement activities that cannot be sourced locally.

Proactively engage in discussions with local buyers to finalize terms and ensure mutually beneficial agreements while fostering strong, enduring partnerships with suppliers.

Conduct comprehensive market evaluations and regularly refresh the roster of pre-qualified suppliers.

Revise all supplier records and confirm that every document associated with each supplier has been thoroughly updated in the IMP system.

Collaborate in compiling the monthly logistics report, ensuring its completion and submission by the third day of each month.

Manages inventory levels to ensure optimal stock availability, minimizing excess and shortages while tracking stock movements, conducting regular audits, and maintaining accurate records to support operational efficiency and compliance with company policies.

Plan and oversee the day-to-day operations of Warehouse and Stock Management activities within the project or capital, ensuring adherence to INTERS OS standards, protocols, and procedures.

The responsibilities encompass, though are not strictly limited to, the following tasks:

Physically and administratively overseeing both medical and nonmedical inventory in coordination with the Country Supply Manager and stock owners, this role entails full accountability for the warehouse and all its stored materials.

To maintain optimal inventory levels and prevent disruptions, implement and enforce all essential tools and management protocols aimed at eliminating stock outs, losses (such as expirations or damage from inadequate storage conditions, temperature deviations), and surplus inventory. Conduct routine physical inventory counts to validate stock levels, ensuring records remain current, and track usage patterns closely. Additionally, oversee the cold chain to uphold product integrity and compliance with regulatory standards.

Ensure the integrity and accuracy of data entered into the INTERS OS Inventory Management System (IMS). Maintain responsibility for both digital and physical archives of administrative documentation, ensuring proper organization and accessibility.

Responsible for verifying, documenting, and organizing incoming goods while maintaining an extensive inventory to support diverse projects and departments, including medical supplies, food, spare parts, tools, and equipment.

Ensure meticulous organization, proper storage, and full protection of all items, with clear identification and immediate accessibility—prioritizing cleanliness, security, and ease of retrieval at all times.

The incumbent will oversee the team under their purview by assigning and planning individual tasks, providing daily supervision, and ensuring the quality of their work. They will be responsible for creating the work schedule, as well as organizing and chairing team meetings.

Additionally, verify that all mission staff receive comprehensive training on the proper use of available communication devices, including satellite phones, HF/VHF radios, and computers.

Asset Management involves the strategic oversight and optimization of financial assets to maximize returns and minimize risks for clients or organizations. This role requires proficiency in financial analysis, portfolio management, and regulatory compliance to ensure sound investment decisions. Support the CLC/IT Officer in generating asset reports at the conclusion of each project and ensure the systematic transfer of assets to designated locations in alignment with the Programs department’s directives.

Conduct quarterly audits to verify the accuracy and condition of fixed assets.

Oversee the coordination of vehicle movements, meticulously monitoring each trip’s progress, and enforce adherence to established security protocols.

Monitor the Generator’s fuel consumption, Generator logbook, Maintenance log, and oil log diligently to ensure accurate records. Develop and submit a monthly Generator fuel consumption report by the third of each month.
