About the role

The Warehouse Facility Manager oversees the physical environment of Sun King’s warehouse, safeguarding operational readiness, ensuring adherence to safety regulations and lease terms, maintaining robust security measures, managing assets efficiently, and upholding sustainable practices throughout the facility.

The incumbent is responsible for maintaining the warehouse in compliance with all operational, regulatory, and organizational standards, thereby facilitating uninterrupted daily activities for the warehouse team.

What you would be expected to do

Responsible for overseeing the facility operations and managing relationships with external vendors, this role ensures the seamless functioning of all operational processes while maintaining high standards of service delivery and efficiency. Key responsibilities include coordinating maintenance activities, negotiating contracts with vendors, and ensuring compliance with safety and regulatory standards. The ideal candidate will have proven experience in facility management, strong negotiation skills, and the ability to liaise effectively with stakeholders to optimize operational performance.

Supervise the continuous functioning of the warehouse facility, guaranteeing that all operational services—including utilities, security, maintenance, HVAC, racking, and mechanical systems—operate at peak efficiency, with any service disruptions addressed promptly.

Coordinate with authorized service providers to ensure the upkeep of all utilities and infrastructure, including electricity, water, and internet. Oversee vendor performance in alignment with service level agreements (SLAs) and address any shortcomings through escalation when necessary.

Perform systematic facility inspection walkthroughs on a regular basis, documenting findings in detail while promptly identifying any defects, safety hazards, or maintenance requirements. Proactively initiate corrective measures to address these issues before they disrupt warehouse operations.

Maintain a detailed facility maintenance log that tracks all completed, pending, and upcoming tasks, ensuring the register is kept current and reviewed collaboratively with the Warehouse Supervisor on a monthly basis.

Serve as the primary internal liaison for all routine facility-related concerns reported by warehouse staff, addressing or escalating issues in accordance with established timelines.

Ensure adherence to lease agreements, manage legal obligations, and mitigate risks associated with property leasing by implementing robust compliance protocols, monitoring contractual obligations, and addressing potential liabilities proactively.

Ensure complete adherence to all terms outlined in the warehouse lease agreement, such as timely rent and service charge payments, maintenance responsibilities, permitted usage guidelines, and approvals for any fit-outs or modifications.

Act as the main point of contact for landlords and applicable regulatory bodies regarding lease-related issues, while overseeing and coordinating timelines for fit-outs, inspections, and lease renewals.

Develop and execute risk mitigation strategies in collaboration with relevant teams to ensure facility safety, security, enforce lease compliance, and protect assets.

Perform systematic safety evaluations and verify adherence to fire safety, occupational health, and emergency protocols mandated for the warehouse environment.

Responsible for managing insurance policies related to the facility, inventory, and equipment, guaranteeing comprehensive and up-to-date coverage at all times; monitor renewal deadlines and collaborate with the Finance department to ensure timely policy administration.

Ensuring adherence to Health, Safety, and Environmental (HSE) compliance and safety standards is a critical responsibility within this role. The position requires thorough knowledge of regulatory frameworks, industry best practices, and risk mitigation strategies to maintain a safe and compliant work environment. Key duties include monitoring safety protocols, conducting inspections, identifying hazards, and implementing corrective measures to prevent incidents. Act as the main HSE representative for the warehouse facility, ensuring strict adherence to Sun King’s HSE standards, applicable local regulations, and fire safety protocols at all times.

Conduct scheduled Health, Safety, and Environment (HSE) audits, fire drills, and safety inspections, documenting all outcomes and tracking progress. Initiate and follow through on corrective and preventive measures to address identified issues, ensuring all actions are completed and formally closed in accordance with established protocols.

Ensure all warehouse staff are equipped with suitable and operational personal protective equipment (PPE), maintaining optimal stock levels and facilitating timely replenishment as needed.

Ensure all safety incidents, near-misses, and equipment malfunctions are promptly reported to the Warehouse Lead.

Ensure all facility-related Health, Safety, and Environment (HSE) records, permits, and compliance certificates are meticulously maintained and consistently kept in an audit-ready, organized state.

Secure access management and robust security protocols are essential responsibilities. Duties include implementing, monitoring, and maintaining systems to safeguard data integrity, confidentiality, and availability. Ensuring compliance with organizational policies, industry standards, and regulatory requirements is mandatory. Identifying vulnerabilities, mitigating risks, and responding to security incidents promptly are critical tasks. Additionally, overseeing user access controls, conducting regular audits, and providing security awareness training to staff are required. Responsible for managing the security infrastructure of the warehouse facility, encompassing access control systems, CCTV surveillance, perimeter inspections, and visitor management procedures.

Routine security inspections of the facility must be performed and thoroughly documented, with any security issues, breaches, or suspicious behaviors immediately reported to the Warehouse Supervisor without delay.

Oversee the authorization of access for all warehouse personnel, contractors, and visitors in accordance with Sun King’s established security standard operating procedures.

Collaborate with the security service provider to uphold guard deployment schedules, patrol routines, and established incident response procedures.

Overseeing the procurement, tracking, and allocation of organizational assets and supplies is a key responsibility, ensuring efficient resource utilization and accountability across departments. This role involves maintaining accurate inventory records, conducting regular audits, and coordinating with vendors to address supply chain needs. Additionally, the position requires implementing cost-saving strategies, monitoring usage trends, and ensuring compliance with procurement policies to optimize operational efficiency. Strong organizational skills, attention to detail, and proficiency in inventory management software are essential, along with the ability to collaborate effectively with cross-functional teams.

Maintain a current inventory of all warehouse facility assets—such as racking, forklifts, pallet trucks, scanners, furniture, equipment, and tools—while documenting their condition, maintenance history, and service schedules.

Implement comprehensive tracking systems for all facility assets, performing regular audits to verify the alignment of asset and supply records while ensuring appropriate usage and custody.

Coordinate all scheduled and preventive maintenance activities for warehouse equipment to guarantee optimal safety, compliance with certification standards, and operational readiness prior to authorizing any use.

Oversee the procurement and inventory of facility supplies, guaranteeing that essential items remain accessible at all times while identifying and addressing replenishment requirements in advance to prevent stock outs.

Cost optimization involves identifying and implementing strategies to reduce expenditures while maintaining quality and performance standards. Reporting entails generating accurate, timely financial and operational data to support decision-making and compliance. Sustainability focuses on integrating environmentally responsible practices into operations to minimize ecological impact and align with corporate social responsibility goals.

Oversee the facility operations budget, meticulously monitoring all expenditures—including rent, service charges, utilities, maintenance, and supplies—against allocated budget lines. Additionally, pinpoint and execute cost-reduction strategies while upholding service excellence and safety standards.

Develop and maintain precise documentation of all facility-related expenditures, ensuring meticulous record-keeping for transparency and accountability. Prepare and submit comprehensive monthly reports to the Warehouse Lead, detailing facility performance metrics, cost breakdowns, space utilization trends, and operational efficiency assessments.

Responsibilities include soliciting and assessing quotes for all maintenance and repair services to ensure cost-effective solutions.
