Purpose of the Role

The Tracking Officer maintains the strict confidentiality of all tracking information while ensuring financed assets are equipped with operational tracking devices and that real-time tracking signals are continuously monitored.

This position plays a vital role in safeguarding assets, mitigating risks, and enabling prompt action when payment failures or potential asset losses occur.

The Tracking Officer collaborates extensively with Collections, Asset Recovery teams, the Head of Operations, the Business Head, and external law enforcement agencies—including security firms and police—to maintain precise oversight of all financed assets under the company’s management.

Oversee and execute critical duties encompassing project oversight, strategic planning, and operational efficiency to ensure organizational objectives are met. Develop and implement policies, procedures, and best practices to enhance performance and compliance. Collaborate with cross-functional teams to align efforts with company goals and foster innovation. Monitor key performance indicators (KPIs) to track progress and identify areas for improvement. Provide leadership in budget management, resource allocation, and risk mitigation strategies. Act as a liaison between senior management and operational staff to facilitate clear communication and accountability. Ensure adherence to industry regulations and internal guidelines while promoting a culture of accountability and continuous improvement.

Ensuring the accurate installation and functionality verification of tracking devices is essential to maintaining operational effectiveness and compliance with established standards.

Ensure tracking devices are properly installed in every asset prior to client delivery.

Conduct thorough system tests, perform device diagnostics, and confirm signal accuracy to validate installations.

Verify that all trackers operate flawlessly at the moment of asset transfer to ensure accuracy and reliability.

Maintain meticulous records of installation verifications to support audits and operational activities.

Daily asset monitoring and tracking involves the systematic oversight and recording of organizational assets to ensure accuracy, accountability, and optimal utilization. This role requires vigilant supervision of asset statuses, including their locations, conditions, and usage patterns, to identify discrepancies or inefficiencies promptly. The position demands meticulous attention to detail, strong organizational skills, and proficiency in asset management systems or software to maintain comprehensive records and generate insightful reports. Responsibilities include verifying asset inventories, tracking movements across departments, and addressing any issues related to asset maintenance or security.

Daily, verify the operational status of all monitored assets to confirm consistent transmission of tracking signals.

Examine dashboards and tracking alerts to detect any deviations, signal interruptions, tampering, or unusual activity.

Monitor and promptly escalate any irregular or suspicious activities to the appropriate internal stakeholders for further investigation.

Maintain precise tracking logs and daily reports to document system performance and asset status accurately.

Promptly address tracking discrepancies and anomalies to ensure accurate and timely resolution of any identified issues.

Whenever a tracking device indicates malfunction, intermittent signals, tampering, or complete signal loss, immediate corrective measures must be implemented without delay.

Collaborate effectively with the technical team, installers, and Field Technicians to promptly identify and address technical issues.

Unresolved matters should be elevated to the Asset Recovery Team, Collections Team, Head of Operations, and/or the Business Head, as needed.

Swift resolution of all reported issues is essential, with thorough documentation of each incident and the corresponding steps taken to achieve resolution.

Cross-team collaboration is essential, fostering seamless communication and alignment among diverse groups to achieve shared objectives efficiently. Strong interpersonal skills and the ability to work harmoniously with colleagues from various departments are required. This role demands proactive engagement, ensuring all stakeholders remain informed and engaged throughout projects.

Collaborate effectively with the Collections and Recovery Teams—particularly in impoundment scenarios—to deliver precise asset location details, especially for clients experiencing payment delays.

Provide the Asset Recovery Team with timely tracking updates, detailed movement reports, and the most recent known location information while repossession or recovery operations are underway.

Maintain ongoing, professional communication with the company’s Business Head and provide necessary reports as requested.

Attend operational meetings and play an active role in refining tracking policies and procedures to enhance overall efficiency and effectiveness.

Tracked and analyzed regularly to measure performance against set benchmarks, ensuring alignment with organizational goals and objectives. These indicators serve as critical metrics for evaluating productivity, efficiency, and overall success, with results reported to stakeholders to inform strategic decisions and continuous improvement initiatives.

Respond promptly to tracking malfunctions or signal disruptions to ensure efficient resolution and minimize operational downtime.

Maintaining meticulous and exhaustive tracking logs, reports, and escalation documentation is essential. This includes ensuring all records are precise and comprehensive to support operational integrity and accountability.

Demonstrated proficiency in facilitating successful Collections and Asset Recovery initiatives is essential.

Ensure consistent device availability and optimize the overall efficacy of the tracking system.

Required ualifications G Experience

A high school completion certificate is required; additional certification or training in electronics, tracking systems, or IT is beneficial.

Seeking candidates with 1 to 3 years of hands-on experience in vehicle tracking, fleet monitoring, security systems, or comparable technical positions.

Proven experience with GPS/GSM tracking systems and associated tracking platforms is required.

Proficiency in asset finance, logistics, fleet operations, or related sectors is advantageous.
