The Inventory/Store Officer is tasked with managing the organized receipt, storage, issuance, documentation, and reconciliation of all materials, equipment, tools, and consumables housed in X-Force Engineering Limited’s facilities across its construction and infrastructure project sites. This position demands a strong grasp of construction and civil engineering materials to ensure precise identification, quality inspection, and proper storage of all inventory items.

The incumbent is responsible for accepting, evaluating, and confirming the accuracy of all incoming materials and equipment by cross-referencing them with purchase orders, delivery documentation, and project-specific requirements, ensuring compliance with quantity, grade, dimensional, and quality benchmarks prior to storage. Any discrepancies or non-compliant items must be identified, rejected, and formally documented in accordance with established procedures.
Leverage a robust understanding of construction and civil engineering materials—such as reinforcement bars (rebar), structural steel sections, cement types, concrete blocks, aggregates, pipes and fittings, formwork, waterproofing materials, mechanical components, and site consumables—to meticulously identify, categorize, and validate all received and issued stock items on a daily basis.
Maintain precise and timely documentation of all stock transactions, including receipts, issuances, returns, and write-offs, by accurately recording them in the inventory management system or stock register on the same day they occur. Ensure that all records remain comprehensive, clear, and fully substantiated by approved supporting documentation at every stage.
Conduct routine stock assessments, including daily spot checks, weekly cycle counts, and comprehensive monthly physical inventories. Reconcile physical counts with system records, promptly investigating and resolving any discrepancies. Report findings and variances to the Procurement Manager without delay.
Monitor critical construction materials to ensure minimum stock levels and reorder points are maintained, promptly submitting material requisitions to the Procurement Manager when inventory reaches the established reorder threshold. This proactive measure helps prevent material shortages that could disrupt site operations or compromise project delivery timelines.
Organize and sustain the store’s immaculate, secure, and systematically structured environment consistently, guaranteeing that all materials are distinctly labeled, accurately classified, stored in their assigned areas, and processed using a First-In, First-Out (FIFO) methodology to mitigate deterioration, waste, or expiration of time-sensitive supplies—including cement, sealants, and adhesives.
Enforce strict store access protocols and verify that all material issuances are accompanied by a fully completed and authorized Material Requisition Note (MRN) prior to releasing any items, thereby maintaining a comprehensive and precise transaction log while preventing unauthorized removal of materials or equipment.
Responsible for identifying, isolating, and documenting any materials that are damaged, deteriorated, or fail to meet quality standards, this role involves promptly notifying the Procurement Manager and Site Engineer while maintaining an accurate Damaged Goods Register. Additionally, the position includes coordinating the return of non-conforming items to suppliers or ensuring their proper disposal, strictly adhering to X-Force Engineering Limited’s established procurement and site management protocols.
Compile and deliver precise weekly and monthly stock reports to the Procurement Manager and Project Manager, documenting current inventory levels by material category, all received and issued materials within the reporting period, slow-moving or obsolete stock items, and any pending purchase orders. Additionally, furnish material cost and stock data to the Finance Department as needed to support project cost tracking and budget reporting.
Ensure strict adherence to all Health, Safety, and Environment (HSE) protocols across the store and materials handling areas, including proper manual handling techniques, correct stacking and storage of heavy construction materials, utilization of required personal protective equipment (PPE), and maintaining unobstructed emergency access routes. Additionally, collaborate with site supervisors and the Finance Department to verify accurate finalization of store-related financial accounts upon project completion.
Seeking candidates with a Bachelor’s degree in Computer Science, Information Technology, or a related field, along with a minimum of three years of experience in software development, system administration, or IT support. Proficiency in programming languages such as Python, Java, or C++ is required, along with experience with databases like SQL or NoSQL. Strong problem-solving skills and the ability to work collaboratively in a team environment are essential. Familiarity with cloud platforms, DevOps practices, or cybersecurity principles is a plus. Excellent communication skills and a commitment to continuous learning are also necessary.
Bachelor’s degree in a relevant discipline or an equivalent combination of education and professional experience is required.
A relevant academic qualification in Supply Chain Management, Business Administration, Civil Engineering Technology, Quantity Surveying, or a comparable field is required.
A recognized professional certification in Supply Chain Management, Stores Management, or Procurement—such as the CAPS Foundation or another CI PMN-accredited qualification—is considered advantageous.

Possesses hands-on expertise in construction materials, including reinforcement bars, structural steel, cement, aggregates, piping systems and related fittings, formwork components, and other essential civil works consumables, developed through active engagement in on-site or warehouse-based construction operations.
Accomplished in maintaining stock records through manual methods as well as inventory management software or ERP systems is required.
Possesses hands-on experience in executing physical inventory counts, identifying and resolving inventory discrepancies, and compiling comprehensive stock reports for executive assessment.
