Job Summary:
The State Support Officer ensures the seamless coordination of responsive, effective, and efficient support and administrative services to advance the project’s initiatives across the state. Working closely with the State Team Lead, this role provides critical administrative and logistical assistance to the project’s various workstreams. The State Support Officer is responsible for embedding strong resource stewardship and a dedication to service excellence into all administrative systems and procedures.
Primary Duties and Accountabilities:
The position involves overseeing a range of critical functions essential to the organization’s objectives. Key responsibilities include managing and executing projects from initiation to completion, ensuring adherence to timelines, budgets, and quality standards. Additionally, the role requires collaborating with cross-functional teams to align efforts, address challenges, and deliver measurable outcomes. Analyzing data to identify trends, risks, and opportunities is also a core responsibility, as is maintaining transparent communication with stakeholders to provide updates and solicit feedback. Ensure activities and required resources are managed and reported on effectively to uphold cost-efficiency and maintain high-quality project implementation, while also providing additional administrative support as needed.
Ensure administrative systems and processes are consistently aligned with IPAs NHF standards to uphold compliance and operational excellence.
Serve as a key intermediary among pertinent team members to ensure seamless and effective communication flows across all parties involved.
Engage with key external stakeholders, including government officials, landlords, and service providers, to address and resolve assigned administrative matters efficiently and professionally.
Contribute to the seamless operation of office supply procurement and asset management systems by ensuring strict adherence to compliance standards.
Assist in detecting potential safety hazards and ensure the maintenance of a secure and safe workplace.
Provide comprehensive travel and logistics support and services for employees, project collaborators, and guests.
Facilitate the organization and execution of various event planning tasks, such as training sessions and workshops.
Execute any additional duties as directed from time to time.
Minimum qualifications include a bachelor’s degree in a relevant field, along with a minimum of three years of professional experience in a similar role. Proficiency in industry-standard software and tools is required, and candidates must demonstrate strong analytical and problem-solving abilities. Excellent communication and teamwork skills are essential, as the role involves frequent collaboration with cross-functional teams. Familiarity with project management methodologies and adherence to deadlines are also mandatory. Additionally, candidates should possess a proven track record of delivering high-quality results under pressure.
A relevant bachelor’s degree or equivalent qualification in the specified field is required for this position.
Professional experience of at least five years in an office administration capacity or a comparable role is required.
Experienced in overseeing store operations and coordinating procurement activities.
Proficiency in Microsoft Office, particularly advanced skills in Excel and Word, is essential. Additionally, a strong aptitude for IT systems and software is required.
Demonstrated ability to plan effectively, prioritize tasks efficiently, and manage multiple responsibilities simultaneously.
Proven ability to communicate effectively, both verbally and in writing, with strong interpersonal skills.
