We are in search of a meticulously organized and detail-focused Admin / Finance Manager to integrate into our vibrant hospitality team.
The successful applicant will manage day-to-day administrative tasks and financial processes, guaranteeing operational efficiency, regulatory adherence, and robust internal controls throughout all organizational departments.
Oversee a range of critical duties, including managing project timelines to ensure timely completion, coordinating cross-functional teams to optimize collaboration, and maintaining stringent quality standards throughout all deliverables. Develop and implement strategic plans that align with organizational objectives while allocating resources efficiently to maximize productivity. Analyze performance metrics to identify areas for improvement and implement corrective actions as needed. Serve as the primary liaison between senior management and operational teams, facilitating clear communication and fostering a culture of accountability. Additionally, mentor junior staff, provide leadership in problem-solving initiatives, and ensure compliance with industry regulations and company policies.
Oversee and manage all daily administrative functions throughout the organization, fostering efficient collaboration between departments such as Front Office, Operations, Sales, Food & Beverage (F&B), Housekeeping, Spa, and Events.
Oversee the complete finance operations, encompassing budget preparation, financial projections, strategic planning, and variance assessment to facilitate informed business decisions.
Oversee accounts payable and receivable operations to guarantee accurate invoicing, diligent payment monitoring, and thorough reconciliation of all financial transactions in a timely manner.
Oversee the management of petty cash allocations between departments, maintaining strict accountability, accurate documentation, and compliance with established internal guidelines.
Ensure financial records, ledgers, and supporting documentation remain precise and current, adhering to established accounting standards and organizational policies.
Review payroll administration by verifying staff payroll inputs, confirming attendance records and overtime claims, processing deductions accurately, and guaranteeing the timely disbursement of salaries.
Perform periodic cost evaluations across various departments—including Food & Beverage, Rooms, Spa, and Events—to uncover potential savings and enhance overall profitability.
Work collaboratively with external auditors, tax advisors, financial institutions, and regulatory bodies to verify adherence to all statutory obligations.
Collaborate with the Sales, Reservations, and Front Office teams to ensure the precise tracking of all revenue streams, thereby supporting revenue monitoring efforts.
Track cash flow and financial performance on a daily basis, delivering timely management insights and strategic recommendations to enhance operational efficiency.
Provide strategic oversight of procurement activities in partnership with key departments, guaranteeing adherence to established approval protocols, effective vendor relationship management, and sustained cost optimization.
Maintain meticulous documentation and organized filing systems for all financial and administrative records to ensure audit readiness and transparency.
Requirements
A bachelor’s degree in Accounting, Finance, Business Administration, or a closely related discipline is required.
Seeking candidates with a minimum of four to five years of professional experience in finance and administration, with a strong preference for those with a background in the hospitality sector.
Demonstrates a comprehensive grasp of fundamental accounting principles alongside proficiency in financial reporting standards and practices.
Proficiency in hotel or property management operations is highly desirable.
Demonstrated expertise in utilizing Microsoft Excel and specialized accounting software is required.
Demonstrated expertise in organization, analytical thinking, and leadership capabilities is essential.
Capable of thriving in a high-pressure hospitality setting that demands adaptability and quick decision-making.
