Responsibilities
Handle all customer inquiries promptly across various channels, including phone, WhatsApp, email, and in-person interactions, ensuring timely and professional responses.
Ensure that all communications, whether professional or interpersonal, are conducted in a courteous and approachable manner at every opportunity.
To validate customer orders, confirm the availability of requested items, and verify the accuracy of each order.
Monitor each order meticulously to verify timely processing and dispatch, following up as necessary to ensure efficiency throughout the workflow.
Collaborate closely with the Managing Director to establish and cultivate strong connections with key buyers.
Deliver exceptional service to these buyers through proactive order tracking and resolution of any issues that may arise.
Maintain comprehensive records of direct buyer interactions, including documented preferences, purchased quantities, and collected feedback.
Work collaboratively with the warehouse and logistics teams to monitor order progress and guarantee punctual delivery.
Maintain transparent communication with customers regarding dispatch updates, delivery schedules, and any unforeseen delays.
Address all customer complaints promptly and with professionalism, referring complex or unresolved issues to the Head of HR/Admin or the Managing Director as appropriate.
Maintain detailed documentation of all complaints received, including the resolution methods employed for each case.
Maintain an up-to-date and well-structured customer database, with a focus on direct buyers and repeat clients.
Monitor the purchasing activities of recurring customers, identify those who have not made recent transactions, and suggest strategies to reconnect with these individuals.
Gather customer feedback and insights, then relay them to the marketing and sales teams to inform their strategies and initiatives.
Propose enhancements in response to recurring feedback or inquiries from customers to better address their needs and expectations.
