Job Summary

We seek a seasoned Procurement & Admin Supervisor, ideally with extensive experience in manufacturing or production settings, to join our esteemed payment card production company.

This position requires managing the complete supply chain process for highly sensitive materials, sourcing and maintaining top-tier global vendors, and handling general office administration. The successful applicant guarantees uninterrupted production while strictly enforcing stringent quality and security protocols.

Oversee and execute a comprehensive set of duties, ensuring alignment with organizational objectives and fostering operational excellence. This role requires diligent management of core functions, including strategic planning, process optimization, and team leadership to drive productivity and innovation. Additionally, the position demands adherence to company policies, meticulous attention to detail, and the ability to meet stringent deadlines while maintaining high standards of quality. Candidates must possess a strong academic background in a relevant field, along with proven experience in a similar capacity, coupled with advanced technical proficiencies and exceptional interpersonal skills to collaborate effectively across departments.

The role demands strong proficiency in procurement and material management, encompassing approximately 80% of the position’s core functions. Key responsibilities involve sourcing, negotiating, and acquiring materials and services while ensuring cost-efficiency and timely delivery. Additionally, the role oversees inventory control, supply chain coordination, and vendor relationship management to maintain optimal stock levels and operational continuity.

We are responsible for sourcing specialized raw materials essential to production, such as PVC and polycarbonate sheets, microchips, magnetic stripes, holographic foils, and industrial packaging.

Supplier Relations: Responsible for identifying, evaluating, and overseeing global and local vendors to ensure competitive pricing, stringent quality adherence, and dependable delivery schedules.

Collaborate with production planners to maintain inventory at optimal levels, thereby preventing the dual challenges of material shortages and excessive inventory costs.

Contract Negotiation: Spearhead discussions for high-value procurement contracts, service level agreements (SLAs), and bulk material pricing negotiations.

Collaborate with quality control teams to resolve supplier defects, manage returns, and evaluate vendor performance in comparison to industry standards.

Performs administrative duties to support office operations, accounting for approximately 20% of daily responsibilities. Handles tasks such as scheduling appointments, managing correspondence, and maintaining office supplies. Ensures efficient workflow by coordinating meetings, preparing reports, and assisting with document preparation. Maintains organized filing systems and adheres to confidentiality protocols.

Asset Management: Responsible for the oversight of office equipment, facilities, and general operational utilities, ensuring their proper maintenance and accurate tracking.

Ensure that office operations comply with manufacturing safety regulations and company data-security policies.

Lead and guide a small group of administrative and purchasing assistants, providing mentorship to cultivate exceptional performance.

Requirements

A Bachelor’s Degree in Supply Chain Management, Logistics, Engineering, Business Administration, or a related discipline is required, with professional certifications such as CAPS viewed favorably.

A minimum of four to six years of procurement experience is required, with a minimum of three years specifically within a manufacturing or production facility, preferably in industries such as payment card, electronics, or printing.

Technical Skills: Extensive expertise in Enterprise Resource Planning (ERP) systems, including SAP, Oracle, and Microsoft Dynamics, alongside advanced inventory control methodologies.

Exceptional negotiation abilities, analytical prowess, robust risk management expertise, and the capacity to operate effectively within stringent production timelines.
