The Inventory/Store Officer is responsible for the systematic receipt, storage, issuance, recording, and reconciliation of all materials, equipment, tools, and consumables held within X-Force Engineering Limited’s stores across its construction and infrastructure project sites. The role requires a thorough understanding of construction and civil engineering materials to enable accurate identification, quality verification, and appropriate storage of all stock items.

Oversee and execute a comprehensive range of responsibilities and duties central to this role, ensuring alignment with organizational objectives and operational standards. Perform essential tasks that support the core functions of the position, while maintaining a high level of accuracy, efficiency, and professionalism. Collaborate with cross-functional teams to achieve shared goals, streamline processes, and enhance productivity. Address daily operational challenges with proactive problem-solving and adaptability to dynamic workplace demands. Uphold compliance with industry regulations, company policies, and best practices to safeguard organizational integrity. Contribute to strategic initiatives by providing actionable insights, data-driven recommendations, and innovative solutions that drive continuous improvement.

Responsible for receiving, inspecting, and verifying all incoming materials and equipment to ensure alignment with purchase orders, delivery notes, and project specifications, confirming that quantities, grades, dimensions, and quality standards comply with requirements prior to acceptance into storage. Any items failing to meet these specifications are to be rejected and documented accordingly.

Apply extensive expertise in construction and civil engineering materials—such as reinforcement bars (rebar), structural steel sections, cement varieties, concrete blocks, aggregates, piping and fittings, formwork, waterproofing solutions, mechanical components, and site consumables—to systematically identify, categorize, and validate all incoming and outgoing stock items on a daily basis.

Accurately and promptly document all stock movements—including receipts, issuances, returns, and write-offs—in the inventory management system or stock register on the day they occur, ensuring records remain complete, legible, and fully supported by approved documentation at all times.

Conduct systematic stock audits, including daily spot checks, weekly cycle counts, and comprehensive monthly physical inventories, ensuring alignment between physical counts and system records by identifying and resolving any discrepancies, and promptly communicating any variances to the Procurement Manager for immediate action.

Monitor inventory levels for essential construction materials and track reorder points diligently. Notify the Procurement Manager promptly when stock levels reach the predetermined reorder threshold to mitigate the risk of material shortages that could disrupt site operations or compromise project timelines.

Organize and sustain the store in a consistently clean, secure, and methodically structured state, ensuring materials are properly labeled, accurately categorized, and stored in their allocated spaces while adhering to a First-In, First-Out (FIFO) system. This approach prevents spoilage, waste, or expiration of perishable items such as cement, sealants, and adhesives.

Enforce store access controls to uphold security protocols and verify that all material issuances are accompanied by a fully completed and authorized Material Requisition Note (MRN) prior to any item being released from the store. Maintain meticulous and accurate records of every transaction to guarantee compliance with inventory procedures and prevent unauthorized removal of materials or equipment.

Identify, document, and promptly escalate any materials that are damaged, deteriorated, or fail to meet required standards to both the Procurement Manager and Site Engineer, ensuring thorough maintenance of the Damaged Goods Register. Additionally, coordinate the return of non-conforming items to suppliers or their proper disposal, strictly adhering to X-Force Engineering Limited’s established procurement and site management protocols.

Compile and deliver precise weekly and monthly stock reports to the Procurement Manager and Project Manager, detailing current stock levels by material category, materials received and issued within the reporting period, slow-moving or obsolete stock items, and pending purchase orders. Additionally, furnish the Finance Department with material cost and stock data as needed to support project cost tracking and budget reporting.

To maintain strict adherence to Health, Safety, and Environment (HSE) standards across the store and materials handling area at all times, implement correct manual handling techniques, ensure proper stacking and storage of heavy construction materials, enforce the use of appropriate personal protective equipment (PPE), and keep emergency access routes unobstructed. Additionally, collaborate with site supervisors and the Finance Department to finalize store-related account settlements accurately upon project completion.

Bachelor’s degree in Computer Science, Engineering, or a related field; minimum of five years of professional experience in software development; proficiency in programming languages such as Java, Python, or C++; experience with cloud platforms like AWS or Azure; strong problem-solving skills and the ability to work collaboratively in a team environment.

Minimum educational qualifications include a bachelor’s degree in a relevant field such as business administration, finance, accounting, or a related discipline from an accredited institution. Alternatively, candidates with equivalent professional experience or specialized certifications in lieu of a degree may also be considered, provided they demonstrate proficiency in core competencies aligned with the role’s requirements.

A Bachelor of Science (B.Sc.) or Higher National Diploma (HND) in Supply Chain Management, Business Administration, Civil Engineering Technology, Quantity Surveying, or an equivalent field is required.

A recognized professional certification in Supply Chain Management, Stores Management, or Procurement—such as the CAPS Foundation or an equivalent qualification accredited by CI PMN—is advantageous.

Proven expertise in construction materials, including reinforcement bars, structural steel, cement, aggregates, pipes and fittings, formwork, and civil works consumables, developed through firsthand site or warehouse experience in a construction setting.

Accomplished professionals with a track record in maintaining accurate stock records, whether through manual processes or advanced inventory management software and ERP systems, are required.

Experienced in performing physical stock counts, identifying and resolving inventory discrepancies, and compiling comprehensive stock reports for executive review.

Proficiency in construction or site environments with a strong emphasis on Health, Safety, and Environment (HSE), coupled with a comprehensive knowledge of proper materials handling and storage protocols, is essential.
