The Documentation Officer oversees the management, organization, and regulation of all documentation processes within the pharmaceutical manufacturing company. This position guarantees that documents pertaining to production, quality control, quality assurance, and regulatory compliance are accurately prepared, maintained, and stored in accordance with Good Manufacturing Practices (GMP) and applicable regulatory standards.

The Documentation Officer is integral to maintaining compliance with both internal quality benchmarks and external regulatory mandates, thereby enabling seamless audits and inspections.

Oversee daily operations to ensure alignment with organizational goals, manage cross-functional teams to drive project completion, and maintain high standards of efficiency and accountability. Develop and implement strategic initiatives to enhance productivity and foster innovation within the team. Collaborate with senior leadership to align departmental objectives with broader company vision, while monitoring performance metrics to identify areas for improvement. Oversee the organization, upkeep, and accuracy of all corporate documentation pertaining to product manufacturing processes, quality assurance protocols, and adherence to regulatory standards.

Ensure meticulous adherence to documentation protocols when developing, updating, and approving Standard Operating Procedures (SOPs), batch records, protocols, and reports.

Consistently maintain and circulate controlled documents to appropriate departments and personnel.

Conduct thorough evaluations of documentation to ensure comprehensive content, precise accuracy, and full compliance with applicable regulatory standards.

Ensure that all documentation receives prompt approval from authorized personnel.

Liaise with various departments, including Production, Quality Assurance, and Regulatory Affairs, to secure essential data and necessary approvals.

Ensure that all documentation strictly adheres to applicable industry regulations, encompassing Good Manufacturing Practices (GMP), National Agency for Food and Drug Administration and Control (NAFDAC), and other relevant local or international health authority standards.

Compile and file essential documentation for regulatory submissions and audits, including product dossiers, change control documentation, and deviation reports.

Provide support in compiling and organizing documentation to address any inquiries from regulatory authorities.

Responsibilities involve establishing and sustaining a meticulously organized filing system to manage both physical documentation and electronic records efficiently.

Securely store all records while ensuring they remain readily accessible for audits and inspections.

Ensure documentation is retained and disposed of in accordance with all applicable legal and regulatory mandates.

Deliver comprehensive documentation assistance throughout internal and external audits, inspections, and regulatory evaluations to ensure compliance and accuracy.
