Reports directly to the Chief Operating Officer (COO) and serves as a key member of the executive leadership team. In this role, you will provide strategic guidance and operational oversight to ensure the organization’s goals are met efficiently. Your responsibilities will include collaborating with department heads to align business strategies, optimizing processes to enhance productivity, and supporting the COO in driving performance improvements. Additionally, you will participate in high-level decision-making and contribute to the development and execution of company-wide initiatives.

Oversee and execute a range of critical duties essential to the role, ensuring alignment with organizational objectives and operational standards. Lead and manage team activities, fostering collaboration and maintaining high performance standards. Develop and implement strategies to enhance productivity, efficiency, and overall team effectiveness. Monitor progress through regular evaluations, providing constructive feedback and professional development opportunities. Collaborate with cross-functional departments to streamline processes and achieve departmental goals. Ensure compliance with company policies, industry regulations, and best practices to mitigate risks and uphold organizational integrity. Prepare and present detailed reports on performance metrics, project statuses, and key insights to senior leadership.

Responsible for overseeing and tracking patient reservations to ensure accurate and efficient scheduling. This role involves maintaining up-to-date records of bookings, verifying details, and addressing any discrepancies promptly. Additionally, the position requires clear communication with patients regarding appointment times, changes, or cancellations while adhering to established protocols. Strong attention to detail and organizational skills are essential to manage multiple bookings seamlessly.

The office ensures healthcare providers are promptly notified and reminded of their scheduled appointments to maintain punctuality and efficiency in the medical practice.

Ensuring that physicians commence consultations punctually is essential.

Assisting patients in resolving any challenges they may encounter when scheduling or attending their appointments.

Efficiently manage appointment rescheduling as required, prioritizing minimal disruption to both patient and physician schedules.

Handle patient inquiries promptly and professionally through various communication channels, including phone, email, and Crisp, ensuring their needs or concerns are addressed thoroughly.

Overseeing the scheduling of physicians’ appointments and commitments constitutes a key responsibility, ensuring alignment with operational needs and individual preferences. This role involves meticulous coordination to balance patient care demands with clinicians’ availability, while also accommodating urgent or unforeseen scheduling changes. Proficiency in calendar management systems and strong interpersonal skills are essential to maintain efficiency, minimize conflicts, and uphold the quality of healthcare delivery.

Monthly reports will be produced and presented, encompassing data on appointment bookings, physician schedules, patient feedback, and overall operational performance.

In this position, you will drive continuous improvement by refining processes to enhance patient and physician experiences while ensuring seamless operational efficiency.

Seeking candidates with a bachelor’s degree in a relevant field or equivalent professional experience, preferably in a related discipline. Proficiency in industry-standard software and tools is essential, along with strong analytical and problem-solving skills. Prior experience in a similar role is highly desirable, as is the ability to work collaboratively in a team environment. Excellent communication skills, both written and verbal, are required to effectively convey ideas and interact with stakeholders. Familiarity with regulatory standards and best practices in the field is a key consideration for this position.

A bachelor’s degree in healthcare administration, business management, or a closely related discipline is highly desirable.

With a minimum of three years of hands-on experience in a customer-facing capacity, ideally within a medical or healthcare setting, you will bring a strong foundation to this role.

Proficiency with customer relationship management systems, appointment scheduling software, or telemedicine platforms is considered a valuable asset for this role.
