This position is a full-time, on-site opportunity for a Human Resources Operations Officer based in Kano.

The HR Operations Officer will be responsible for administering a range of HR functions, such as maintaining accurate employee records, overseeing Human Resources Information Systems (HRIS), managing benefits programs, and organizing employee training initiatives.

The role involves supporting recruitment efforts, facilitating new hire onboarding, and upholding adherence to HR policies and procedures. Additionally, the position requires fostering clear and consistent communication with colleagues and cross-functional teams.

Job Description

Upon receipt of fully completed manpower requisition forms, diligently forward them to the Corporate HR department for processing.

Oversee the full recruitment lifecycle, from candidate shortlisting and interview invitations to administering written assessments and coordinating virtual and in-person interviews.

Upon hiring the chosen applicants, arrange and oversee pre-employment medical assessments, then liaise with the laboratory to obtain the results promptly.

Partner with depots to oversee their hiring efforts and offer support in resolving pending documentation and procedural matters.

Secured endorsement from Corporate HR for the proposed salary package and aligned it with the qualifications of an appropriate candidate.

Craft and distribute appointment or contract letters to candidates who meet the qualification criteria.

Oversee the processing and finalization of employees’ probationary documents in collaboration with supervisors, and draft confirmation letters once approval has been granted.

Upon their arrival, greet and integrate new employees into the company, ensuring they are introduced to all colleagues as they begin their roles.

The Employee Staff Handbook and all relevant documents provided by Present Company must be duly signed and returned as required.

To facilitate compliance with regulatory mandates, enroll newly hired employees in the Pension Funds Administrators (Pas) system and confirm their registration under the Retirement Savings Account (RSA) scheme.

Follow up with departing employees to retrieve the Company’s assets and document this information in the shared folder designated for the Abu Dhabi branch.

Responsible for maintaining the Oracle database by accurately updating new employee information, processing additions, and performing terminations as needed. Additionally, ensures the integrity of employee records through necessary database corrections.

Before entering the payroll processing phase, the employee must accurately record absent hours, Overtime, and any additional relevant data in Oracle. This ensures all necessary inputs are properly logged to facilitate accurate payroll calculations.

Upon receipt of a request, employee payslips are printed and distributed accordingly.

Prepare and maintain the Annual Leave Tracker for Abu Dhabi staff across all depots, ensuring accurate record-keeping and timely updates. Additionally, facilitate file verification and review processes to confirm compliance and accuracy in leave management.

Compile weekly employee attendance reports verifying compliance with organizational standards and promptly submit them to the Head of Departments for review.

Prepare and maintain weekly Manpower reports, ensuring they are current and accurate before submitting them to the HR Consultant for evaluation.

Upon receiving approval, complete the Status Change Form, also known as the Transfer Form, and forward it to the relevant branches for processing.

Receipt, record, and securely maintain a register of depot keys at the conclusion of depot closures for the year.

Requirement

A bachelor’s degree in Human Resources or a related field is required, while possessing a recognized professional certification such as CPM will be considered a valuable asset.

Candidates must possess a minimum of three to five years of relevant professional experience.
