Job Summary
We seek a skilled Health Unit Coordinator (HUB) to perform essential secretarial duties supporting our healthcare operations.
You will serve as the primary liaison fostering clear and productive communication between the medical staff and the dedicated administrative support for unit operations.

The HUB’s primary responsibility is to maintain the facility’s seamless operation. You will facilitate accurate storage and distribution of information among medical staff and to patients.
Oversee and manage the day-to-day operations of the department, ensuring all projects are completed on time and within budget. Develop and implement strategic plans to enhance efficiency, productivity, and overall performance. Collaborate with cross-functional teams to align goals and drive cohesive organizational outcomes. Monitor key performance indicators to assess progress and identify areas for improvement, providing data-driven recommendations to senior leadership. Lead and mentor a team of professionals, fostering a culture of accountability, innovation, and continuous growth. Ensure compliance with company policies, industry regulations, and best practices while maintaining high standards of quality and operational excellence.
Upon arrival, warmly welcome patients and promptly provide them with the necessary forms.
Maintain and manage appointment calendars as well as other scheduling systems to ensure accurate and efficient organization of time and commitments.
Accurately record physicians’ directives, ensuring precision and clarity in documentation.
Responsible for updating patient medical records and tracking vital sign measurements.
Prepare or retrieve official documents, including birth and death certificates as well as discharge summaries, as required.
Revise databases by inputting accurate and up-to-date patient details to maintain comprehensive and precise records.
We will partner with healthcare professionals and administrative teams to achieve shared objectives, ensuring seamless coordination across all departments. This role requires active engagement with both clinical and non-clinical personnel to facilitate effective communication and operational efficiency.
Responsibilities include monitoring inventory levels and procuring necessary materials or equipment to maintain seamless operations. When supplies are running low or depleted, you will be responsible for initiating and completing purchase orders in a timely manner to prevent any disruptions in workflow.
Perform additional tasks and responsibilities as directed by management.
Qualifications and Competencies
Applicants must possess a minimum of a Bachelor’s degree in a relevant field, along with three to five years of hands-on experience in a related discipline. Proficiency in industry-standard software and tools is essential, alongside strong analytical, problem-solving, and communication skills. Candidates should demonstrate a proven ability to work independently and collaboratively within a team environment. Familiarity with project management methodologies and adherence to best practices are required. Additionally, exceptional organizational and time management capabilities are necessary to meet deadlines and deliver high-quality results consistently.
Requires a high school diploma or equivalent qualification.
A HUB training program completion is strongly preferred.
Professional certification is considered beneficial in this role.
Experienced professionals with a solid background in health unit coordination or comparable positions are required.
Proficiency in utilizing medical records and databases is required for this role. Candidates should demonstrate hands-on experience retrieving, analyzing, and managing patient information within electronic health record (EHR) systems. Familiarity with data entry, documentation standards, and compliance protocols is essential to ensure accuracy and confidentiality. Additionally, the ability to navigate and extract insights from healthcare databases efficiently will be a key asset in supporting clinical and administrative workflows.
Demonstrates a strong command of pertinent medical terminology, ensuring clear and accurate communication within clinical and administrative contexts.
Proficiency in medical transcription is advantageous.
