Oversee a comprehensive range of duties encompassing strategic planning, operational execution, and performance evaluation to ensure organizational goals are met efficiently. Data Recording and Job Management involves meticulously documenting and overseeing tasks to ensure accuracy, efficiency, and compliance with established procedures. This role requires maintaining detailed records, tracking job progress, and coordinating workflows to meet deadlines while adhering to organizational standards. Strong organizational skills, attention to detail, and proficiency in relevant software or systems are essential for success in this position.

Accurately log all incoming requests, job updates, fault logs, and closures in the job tracking system with real-time updates.

Maintain a comprehensive log of every job, spanning open, in-progress, completed, and cancelled statuses, ensuring accurate documentation of dates, engineer assignments, and current status.

Record all materials utilized for each project and revise inventory documentation to reflect current stock levels.

Maintain organized and accessible filing systems for both physical and digital documents, ensuring compliance with established record-keeping protocols. Preserve and catalog archival materials according to industry standards, facilitating efficient retrieval while safeguarding sensitive information.

All job cards, completion forms, fault reports, and project documents must be archived within 24 hours following job closure.

Maintain a systematic physical and digital filing system by implementing uniform naming conventions and logical categorization methods.

Perform a monthly review of filing records to detect and resolve any discrepancies or missing documentation.

As a member of our team, you will play a pivotal role in providing comprehensive reporting, ensuring accuracy and timeliness in all deliverables. Your responsibilities will include generating detailed reports, analyzing data to identify trends, and presenting insights to stakeholders to support informed decision-making. The position requires strong analytical skills, proficiency with reporting tools, and the ability to communicate complex information clearly and concisely. You will collaborate with cross-functional teams to gather relevant data and ensure alignment with organizational goals. Attention to detail and a commitment to maintaining high standards of quality in all reporting activities are essential.

To prepare the weekly department activity report, ensure it is reviewed by the Fiber Back-office Team Lead prior to submission.

Develop a monthly performance dashboard that includes key performance indicators (KPIs), job volume metrics, service level agreement (SLA) performance data, and material consumption records.

Prepare ad hoc reports as required by the Team Lead or Head of Department, ensuring timely and accurate delivery.

Responsible for providing backup support to the Coordinator, ensuring seamless continuity of operations during absences or high-volume periods. Assists with scheduling, documentation, and communication tasks to maintain efficiency and organization within the team. Must possess strong organizational skills, attention to detail, and the ability to prioritize multiple responsibilities effectively. Proficiency in office software, including Microsoft Office Suite, and prior experience in an administrative or coordination role are required.

Cover all coordinator responsibilities in the absence of the primary contact, including intake of requests, preparation of work orders, confirmation of client appointments, and facilitation of interdepartmental communication.

Possess a comprehensive understanding of coordinator tools and maintain an updated network of contacts to seamlessly assume responsibilities without causing any operational disruptions.
