The Operations Assistant (Field Support) will deliver essential support services to migrants accommodated at the Transit Center, facilitate smooth arrival processes at the airport, conduct migrant profiling using the Mimosa system, and oversee transportation arrangements.
Provide field support services within designated locations, including airports, transit centers, and third-party facilities, as they pertain to transportation operations.
Provide airport services by delivering arrival assistance, verifying traveler identities and required documentation, and facilitating airport formalities such as flight arrivals, curbside support, check-in, luggage processing, immigration clearance, and security screening procedures. Escort arriving passengers to ground transportation and departing passengers to their respective gates, confirm flight departures visually, and ensure individuals with disabilities or mobility aids receive appropriate accommodations. Additionally, send relevant notifications through designated systems as required.
Assist individuals at transit centers or third-party facilities by facilitating their arrival with sign-in procedures, identity verification, orientation, distribution of food and non-food items, and room assignments. During their stay, provide essential items, instructions, briefings, activities, and resolve any arising issues while ensuring their safety, security, and comfort. At departure, assist with medical appointments, return travel, or onward travel by offering briefings, luggage support, and seamless transition to transportation. Enter and update pertinent data in designated systems, and report all concerns promptly to the appropriate supervisor(s) to maintain the well-being of vulnerable individuals.
Provide support at transit centers and third-party facilities for extended shifts lasting up to 12 hours, including overnight hours, to address the needs of individuals throughout their stay. Promptly escalate any issues to third-party facility representatives or supervisors as they arise.
Assist in coordinating transportation services from airports, transit centers, MHC facilities, and third-party locations. This includes collaborating with service providers, verifying identities, confirming readiness and organization of transported individuals, and delivering pertinent briefings. Support baggage sorting, tagging, and handling efforts, and accompany individuals during transport as required. Ensure individuals with special needs receive suitable accommodations, and promptly escalate any concerns to supervisors.
Interpretation services must be provided to individuals at airports, transit centers, third-party facilities, and during transportation.
Provide consistent feedback on ongoing tasks to the Senior Operations Assistant and/or supervisors and team members while promptly notifying supervisors of any issues that demand their immediate attention.
Ensure the confidentiality and integrity of all pertinent documentation in strict adherence to established standards of conduct and data protection regulations. Promptly notify the Senior Operations Assistant or management of any deviations from Standard Operating Procedures (SOPs) or codes of conduct by IOM personnel or partner organizations.
Carry out any additional assignments as deemed necessary by management.
Qualifications
Bachelor’s degree in a relevant field or equivalent professional experience is mandatory, along with a minimum of five years in a related role. Proficiency in industry-standard software and tools is essential, as is the ability to lead cross-functional teams and manage multiple priorities under tight deadlines. Strong analytical, problem-solving, and communication skills are required to collaborate effectively with stakeholders at all levels. Familiarity with regulatory requirements and compliance standards is a key requirement.
Education
A bachelor’s degree in social work, economics, business administration, or a related field, along with a minimum of two years of progressively responsible relevant work experience, is required.
