The Executive Assistant serves as the primary liaison and trusted intermediary for the Managing Director, facilitating seamless communication between the MD and internal personnel, clients, partners, and external stakeholders.

To excel in this position, the Managing Director’s time must remain safeguarded, ensuring all commitments are fulfilled while the office operates seamlessly—even in their absence.

Oversee and execute critical duties encompassing strategic planning, operational efficiency, and team leadership to drive organizational success. Develop and implement comprehensive policies, procedures, and performance metrics to ensure alignment with company objectives and industry standards. Collaborate cross-functionally with stakeholders to identify opportunities for improvement, streamline processes, and foster innovation. Monitor departmental performance, analyze key performance indicators, and provide data-driven recommendations to senior management. Ensure compliance with regulatory requirements, ethical standards, and internal guidelines while maintaining a culture of accountability and continuous improvement.

Dairy and schedule administration involves comprehensive oversight of the Managing Director’s calendar from start to finish. This includes coordinating meetings, addressing scheduling conflicts, allocating necessary preparation and travel time, and ensuring the MD remains fully informed and punctual.

Gatekeeping all communications involves rigorously filtering, organizing, and addressing incoming calls, emails, and written correspondence on behalf of the Managing Director, ensuring timely and appropriate responses. Additionally, the role requires meticulously preparing, editing, and refining letters, reports, and presentations to maintain the highest professional standards.

Organize board meetings, leadership sessions, and client engagements by meticulously preparing agendas, distributing relevant documents, documenting precise minutes, and ensuring all action items are addressed and completed in a timely manner.

Plan and arrange domestic and international travel arrangements, including flights, lodging, visa processing, and comprehensive itineraries. Manage modifications to travel schedules with composure and efficiency when unexpected changes arise.

As a Stakeholder Liaison, you will act as the polished and discreet primary contact for clients, suppliers, and partners, embodying the professionalism of the Managing Director’s office. This role involves maintaining high standards of discretion while serving as the frontline representative for key stakeholders.

Monitor and oversee the Managing Director’s engagements, ensuring all commitments, deadlines, and follow-up actions are met by systematically tracking progress. Proactively engage with relevant stakeholders, including colleagues, to address potential delays and maintain adherence to project timelines.

Process expenses with precision, oversee confidential documentation and records, and uphold an orderly, readily accessible filing system to ensure seamless administrative operations.

Event & visitor support involves managing all logistical arrangements for company events, official visits, and hospitality services, with a strong emphasis on ensuring guests of the Managing Director are welcomed in a professional and polished manner.

Maintain strict confidentiality by exercising the utmost discretion when handling sensitive commercial, financial, and personnel-related information at all times.

Requirements

With a minimum of three years of demonstrated experience in an Executive Assistant, Personal Assistant, or comparable senior leadership support capacity, candidates should bring a strong track record of success.

Exceptional organizational capabilities and proficient time-management skills, enabling the seamless balancing of multiple concurrent tasks.

Possesses strong written and oral communication abilities, demonstrating poise and professionalism in all interactions.

High-level proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, is essential, along with a strong aptitude for quickly adapting to and mastering new software tools.

Demonstrates exceptional meticulousness and a forward-thinking, problem-solving approach.

Demonstrated sound judgment, unwavering integrity, and a steadfast commitment to maintaining absolute confidentiality are essential qualities for this role.

Capable of working autonomously while proactively addressing requirements and maintaining composure in high-pressure situations.
