About the role

As the Senior Associate for MEL within the Green Rise Africa initiative, your responsibilities will include providing dedicated support to the Impact Manager in the ongoing coordination and administrative oversight of Monitoring, Evaluation, and Learning (MEL) activities throughout the program.

You will oversee the maintenance of the reporting calendar and facilitate coordination of data collection efforts with regional teams and partners. Additionally, you will review and enhance data collection tools while ensuring the seamless and timely execution of MEL processes.

This position involves actively managing and coordinating the MEL (Monitoring, Evaluation, and Learning) function to ensure it remains well-organized, operates with maximum efficiency, and promptly addresses needs.

The position operates under the supervision of the Impact Manager for Monitoring, Evaluation, and Learning (MEL) and collaborates extensively with the Impact Manager for Reporting, Data, and Analytics, as well as with program teams and implementing partners spanning East and West Africa.

Accountabilities include delivering exceptional customer service, addressing client inquiries and concerns promptly and professionally. Responsibilities involve managing client accounts, ensuring accurate and timely processing of transactions, and maintaining detailed records of interactions. Requirements include a minimum of two years of experience in a customer service or administrative role, strong communication skills, and proficiency in Microsoft Office Suite. Additionally, the role demands the ability to multitask effectively, prioritize tasks efficiently, and work collaboratively within a team environment.

MEL administration and coordination encompass the systematic management and oversight of monitoring, evaluation, and learning processes to ensure data-driven decision-making and program improvement. This role involves developing and maintaining robust MEL frameworks, coordinating data collection and analysis activities, and facilitating the dissemination of findings to stakeholders. Responsibilities include designing indicators, implementing tracking systems, and ensuring compliance with reporting standards, all while fostering collaboration between teams to enhance program effectiveness and accountability.

Oversee the program reporting calendar to ensure all Monitoring, Evaluation, and Learning (MEL) deadlines are systematically monitored, clearly communicated, and consistently met.

Coordinate data collection efforts across various regions by collaborating with program personnel and implementing partners to guarantee prompt and comprehensive submissions.

Oversee the upkeep of MEL documentation, encompassing the MEL plan, data collection strategy, tools inventory, and issues log.

Provide assistance in overseeing the regional Monitoring, Evaluation, and Learning (MEL) budget by monitoring expenditures and identifying discrepancies.

Organize and record minutes for MEL (Monitoring, Evaluation, and Learning) meetings, systematically track action items, and ensure timely completion of deliverables.

Ensure meticulous organization and accurate version control for all MEL documents, tools, and datasets.

Review and validate the functionality of data collection tools to ensure accuracy and reliability in capturing information. Oversee the quality assurance process to identify discrepancies, inconsistencies, or errors in collected data. Implement corrective measures to address any issues and maintain high standards of data integrity. Collaborate with cross-functional teams to refine tool configurations, enhance data validation protocols, and improve overall collection efficiency.

Review and enhance existing data collection tools and survey instruments, focusing on improving clarity, precision, and overall effectiveness to better meet intended objectives.

Facilitate the implementation of data collection tools for partners by developing comprehensive guidance materials and addressing any technical inquiries that may arise.

Perform preliminary quality assessments on incoming data, identifying any discrepancies or missing information, and promptly escalate these issues to the Impact Manager for resolution.

Collaborate with the Impact Manager to develop and refine new tools as required.

Providing dedicated support for reporting, this role involves overseeing and ensuring the accuracy, timeliness, and compliance of all generated reports. Responsibilities include collecting, analyzing, and verifying data, preparing detailed reports, and collaborating with stakeholders to address discrepancies. Proficiency in data management tools and strong attention to detail are essential requirements for this position.

Collect and systematically arrange data inputs to support the preparation of quarterly and annual reports.

Develop preliminary data summaries and visualizations for submission to the Impact Manager for evaluation.

Collaborate with regional teams to gather essential data and insights required for compiling the Annual Impact Report.

Assist in compiling and organizing materials essential for donor reporting and stakeholder presentations.

Conducting assessments and providing learning assistance to enhance performance and development.

Offer logistical and administrative support for evaluation initiatives by coordinating schedules, preparing necessary documentation, and serving as a liaison with external evaluators.

Assist in organizing and facilitating learning initiatives by documenting and maintaining records of lessons learned.

Provide support in coordinating monitoring visits by handling logistical arrangements, preparing briefing materials, and managing follow-up documentation.

Provide assistance in strengthening organizational capabilities and enhancing operational efficiency through targeted capacity-building initiatives.

Provide assistance in conducting training sessions for regional teams and partners, focusing on MEL tools, templates, and processes.

Assist in the creation and upkeep of the Impact and MEL Implementation Manual for partners.

Deliver continuous frontline assistance to regional teams regarding Monitoring, Evaluation, and Learning (MEL) inquiries and system utilization.

Seeking a candidate with a strong foundation in analytical thinking and problem-solving, along with proficiency in relevant software tools and methodologies. The ideal applicant must possess exceptional communication skills to collaborate effectively within a team and convey complex ideas clearly. A minimum of three years of hands-on experience in the field is required, along with a bachelor’s degree in a related discipline. Preferred qualifications include project management certification and familiarity with industry-specific regulations. Proficiency in utilizing data collection tools and survey design platforms such as KoboToolbox, Survey CTO, Google Forms, or comparable systems is required.

Proficient in evaluating data for integrity and promptly identifying discrepancies with clarity.

Excellent proficiency in both written and spoken communication is essential.

Adaptable to global time zones and collaborative with distributed teams.
