Reports directly to the Rig Manager, ensuring seamless communication and alignment with operational directives while providing timely updates on project progress and potential challenges. This role involves collaborating closely with the Rig Manager to implement safety protocols, oversee daily rig activities, and ensure adherence to industry regulations and company standards. Additionally, the position may require coordinating with cross-functional teams, including engineering, maintenance, and logistics personnel, to optimize efficiency and maintain high safety and performance levels on-site.

Job Summary:

The Offshore Operations Coordinator will oversee project facilitation on the vessel, collaborating closely with the Project Engineer to ensure seamless execution, procedural development, and comprehensive risk management throughout each project’s lifecycle. Additionally, they will deliver essential vessel support and coordination within their assigned responsibilities, all while maintaining strong alignment with onshore support teams.

The key responsibilities encompass a range of tasks critical to the role’s success, including developing and implementing strategic initiatives, managing cross-functional teams, and ensuring project completion within established timelines and budgets. Additionally, the position requires regular performance evaluations, fostering a collaborative work environment, and addressing any operational challenges that may arise. Proficiency in data analysis and reporting is essential, along with the ability to communicate effectively with stakeholders at all levels to align goals and drive organizational growth.

Offer engineering project support to the Vessel during operational periods when the Project Engineer is not on duty.

Attend and, when necessary, chair the Project Briefing, HAMID, IWO, Equipment Briefings, Pre-shift Meetings, Seas, Demob Meetings, and all other relevant Safety Meetings during the PE’s off-shift hours.

Ensure all COSHH assessments are completed and corresponding MSDS sheets remain accessible during the PE’s absence.

Support the Project Engineer in managing and updating project documentation in accordance with the Project Management System.

Examine project documentation, equipment inventories, procedures, and schematics created before mobilization, along with any procedural or peer reviews, as instructed by the Rig Manager.

Please notify the Rig Manager of any potential alterations, discrepancies, or inaccuracies in project procedures or schedules that may necessitate a Management of Change (MOC) process.

Prepare and distribute Site Instructions, Standing Job Aids (Seas), and Maintenance Operating Cards (Mock) during the PE’s absence, maintaining copies for records and logging distribution accordingly.

Coordinate mobilization and demobilization activities in alignment with the designated PE and Store personnel, executing all duties in strict adherence to the Project Management System guidelines.

They must thoroughly review the vessel’s Well Control Manual, which encompasses the latest Policies on Well Control and Barriers.

Assist in compiling and organizing copies of Stores Requisitions, Requisitions, and Purchase Orders exchanged between OMT and Onshore, ensuring accurate record-keeping.

Provide support in the loading and unloading of cargo onto the vessel while coordinating with warehouse staff, supply chain personnel, and the Operations Management Team (OMT).

Provide support to the Store team by distributing delivery manifests throughout the vessel, as transmitted from onshore.

Assist the Store personnel in performing an initial verification of delivered goods against the shipping manifest, and coordinate with Vessel personnel to retrieve the goods, ensuring that certification is duly forwarded to the appropriate individual when the Onshore Store personnel are unavailable.

Upon receiving authorization from OMT, verify with the onshore team that the manifested goods have been accurately received before submitting a stamped and fully completed manifest.

Verify that all furnished Project equipment is accompanied by current certification, proper documentation, and is onboard in accordance with the deck plan and MTO/manifests.

Support the crew in organizing and readying project materials for back loading operations.

Maintains and updates specific sections of the Chemical and Equipment tracker, focusing on long-term vessel items—such as radios and project cage stock—as instructed by the Rig Manager.

Compile Vessel Mail and submit it to the Office along with a Transmittal Note.

Compile the Daily Project Report and submit it to the Rig Manager for review no later than 06:00.

Effectively liaise with clients, management, vessel crews, and third-party stakeholders to ensure clear and consistent communication.

Maintaining strict confidentiality is essential when handling sensitive or confidential information as required by the position.

Prepare and compile a comprehensive, meticulously detailed Handover Document for the incoming team member, guaranteeing that the status of all specified sections remains current and is effectively transferred.

Ensure the proper functioning and maintenance of the vessel’s safety systems.

With a proven track record in [industry/field], candidates should possess a minimum of [X] years of relevant experience, including expertise in [specific skills or areas]. A minimum of four years of experience within an offshore-related sector or light well intervention operations, preferably in a comparable coordination role, is required.

Individuals should possess demonstrated expertise in managing material movements along with a strong understanding of light well intervention and operations, or alternatively, significant experience and familiarity with rigging and ROV operations.

Possesses strong organizational and administrative capabilities, ensuring efficient management of tasks and resources with meticulous attention to detail. Demonstrates the ability to maintain structured workflows, prioritize responsibilities, and support operational processes effectively.

A collaborative professional with strong interpersonal and communication abilities, adept at fostering productive team dynamics.

Proficiency in Quality Assurance or Operations environments is required.

Proficient in utilizing all Microsoft Office applications with strong computer literacy.

Additional professional development obligations include completing mandatory certification programs, attending specialized workshops, and participating in ongoing educational seminars to maintain proficiency in industry standards and emerging best practices. These requirements ensure alignment with organizational policies, regulatory compliance, and the acquisition of advanced technical or leadership competencies relevant to the role.
