Job Summary
The Facilities Officer is responsible for managing and sustaining a company’s physical workspaces, guaranteeing environments that are secure, operational, and supportive for employee productivity.
They oversee daily building operations, coordinate necessary repairs, manage vendor relationships, and ensure strict adherence to health and safety regulations throughout the premises.
Oversee the primary duties and key functions associated with this role, ensuring all operational and strategic objectives are met with precision. Develop, implement, and monitor processes to enhance productivity, efficiency, and compliance with established standards. Collaborate with cross-functional teams to align efforts with organizational goals, fostering a cohesive and results-driven environment. Provide leadership in project execution, resource allocation, and performance evaluation to drive continuous improvement and sustainable growth. Maintain accountability for delivering high-quality outcomes while adhering to deadlines and budgetary constraints.
Plan and implement both preventive and reactive maintenance programs for plumbing, electrical, HVAC, and structural systems to ensure optimal functionality and longevity of building infrastructure.
You will function as the primary liaison for tenant work orders, respond to complaints promptly, and maintain a comfortable and productive environment for all occupants.
Vendor Management entails the strategic sourcing, negotiation, and ongoing supervision of external contractors, cleaners, security personnel, and utility providers to ensure optimal performance and alignment with organizational objectives.
Health and Safety: Consistently perform thorough property inspections to ensure full adherence to local safety codes, fire regulations, and emergency preparedness measures.
Forecast maintenance-related expenditures, monitor operational costs, administer service charge budgets, and compile and submit periodic financial reports.
Key Performance Indicators (KPIs) will be established to gauge the efficacy of your performance in this role, aligning with both individual and organizational objectives. These metrics serve as measurable benchmarks to evaluate progress toward strategic goals, ensuring accountability and continuous improvement. Success in this position will be assessed through a combination of quantitative and qualitative assessments, tailored to the specific responsibilities outlined in the job description. Regular performance reviews will be conducted to track achievements, identify areas for development, and facilitate professional growth.
Ensuring the continuous availability of essential utilities—including power, water, and elevator operations—is a critical responsibility of this role.
Ensuring tenant complaints and maintenance tickets are addressed within the stipulated service level agreements (SLAs) is essential.
Operates within the approved facility maintenance budget while upholding quality standards.
Ensuring regulatory compliance and achieving optimal safety ratings to avoid penalties remains a critical responsibility.
